Job Description:

Are you a detail-oriented HR professional who thrives on solving problems and making processes run smoothly? We're looking for an HR Shared Services Representative to join our team as a key point of contact for employees, managers, and candidates across the full employee lifecycle. In this role, you'll be at the heart of our HR operations - handling everything from Workday transactions and benefits support to recruiting coordination, onboarding, and compliance activities like I-9 verification. Key Responsibilities:
HR Shared Services
  • Serve as Tier 1 and Tier 2 point of contact for employee inquiries submitted via the HR ticketing system (Workday Help), responding within established SLAs
  • Partner with employees and managers as a first point of contact for employee life cycle transactions in Workday - including job changes, terminations, leave of absence initiations, and personal data updates - guiding them through self-service processes and ensuring accurate and timely completion
  • Generate and distribute employment verification letters, offer letters, and other HR correspondence
  • Support benefits administration by assisting employees with enrollment questions, life event changes, and vendor escalations
  • Contribute to the development and maintenance of HR knowledge base articles and SOPs
  • Support internal and external audit processes by pulling data from Workday, organizing documentation, and preparing materials for review.


Recruiting Coordination and Onboarding
  • Partner with Recruiters and Hiring Managers to schedule interviews across all levels, including complex multi-panel and executive interviews across time zones, ensuring a seamless and professional experience for all participants
  • Serve as the primary point of contact for candidates throughout the interview process, proactively communicating scheduling details, next steps, and status updates to maintain a high-quality candidate experience
  • Manage interview logistics end-to-end, including coordination of virtual and on-site interview arrangements, interviewer briefing materials, and timely resolution of scheduling conflicts or changes
  • Coordinate background checks, references, and pre-employment screening with third-party vendors
  • Prepare and send offer letters in coordination with the Recruiting and Total Rewards teams
  • Support new hire onboarding initiation, including Workday onboarding task assignment and Day 1 readiness coordination
  • Assist with recruiting programs such as internship coordination, campus recruiting events, or referral program administration


Employee Experience Support
  • Support HR-owned employee experience initiatives by collecting, organizing, and summarizing employee feedback data from surveys, onboarding check-ins, and lifecycle listening programs
  • Assist with the maintenance and updating of HR-owned employer brand and employee-facing content on SharePoint, the intranet, and other internal platforms, ensuring materials are current, accurate, and accessible
  • Compile and format employee experience and engagement data for periodic reporting to HR leadership, organizing findings and flagging notable trends for review
  • Coordinate logistics for employee experience programs, recognition initiatives, and HR-sponsored communications campaigns, supporting HR leadership with scheduling, distribution, and follow-up tracking


Right to Work & Work Authorization
  • Administer the US I-9 verification process for all new hires, ensuring timely and accurate completion of Section 1 and Section 2 in accordance with federal requirements and internal policy
  • Administer the Right to Work / Work Authorization process for all new hires outside of the US in accordance with requirements.
  • Manage re-verification tracking for employees with temporary work authorization, proactively initiating the re-verification workflow ahead of expiration dates
  • Support self-audit activities by pulling records, organizing documentation, and flagging discrepancies for review and remediation


Qualifications and Experience
  • 2 to 4 years of experience in HR operations, HR coordination, recruiting coordination, or a related People Operations role
  • Hands-on experience with Workday as an HRIS and/or ATS, including transaction processing, reporting, and case management via Workday Help
  • Demonstrated ability to manage competing priorities and projects with strong organizational skills, clear follow-through, and consistent accountability to deadlines and stakeholders
  • Strong written and verbal communication skills, including the ability to tailor messaging appropriately for different audiences - from candidates and employees to Hiring Managers and HR leadership
  • High degree of accuracy and attention to detail, particularly when processing data and managing confidential information
  • Proficiency with Microsoft Office, specifically Excel (data management, basic formulas, and reporting), Outlook (calendar and email management), and Teams (collaboration and virtual meeting facilitation)
  • Experience with Zoom for virtual interview coordination, meeting scheduling, and webinar or event support
  • Familiarity with and willingness to leverage AI productivity tools such as Claude, Microsoft Copilot, ChatGPT, or similar platforms to support drafting, research, and operational efficiency
  • Demonstrated history of taking on responsibilities or acquiring skills outside of their defined role, delivering results in ambiguous or unfamiliar territory, and expanding their impact over time without being directed to do so
  • Familiarity with employment verifications, US I-9 compliance, and basic HR regulatory requirements


Preferred
  • Experience supporting a large, multi-national employee base that spans different functions and time zones.
  • Prior exposure to ticketing or case management systems
  • Experience in a tech or high-growth company environment
  • Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent practical experience

We have a market-based pay structure which varies by location. Please note that the base pay range is a guideline, and our compensation range reflects the cost of labor in the U.S. geographic market based on the location of the role. Pay within these ranges varies and depends on job-related knowledge, skills, and relevant work experience.

For candidates who receive and offer, the starting salary will vary based on various factors including, but not limited to, such qualifications as, skill level, competencies, and work location. The range provided may represent a candidate range and may not reflect the full range for an individual tenured employee.

Base Pay Range
91308.49

In addition to base pay, this role may be eligible for variable/ incentive compensation and/ or equity. In addition, this role is eligible for a comprehensive, competitive benefits package which may include healthcare and retirement plans, paid time off, and more!
