Job Description:

The Office of the Chief Risk Officer is a centralized function that provides support across Risk Management, including Exam Management. The Exam Management team serves as a central coordination point for regulatory examinations and internal audits within the core Risk functions. The team works closely with subject matter experts and leaders across Risk Management to organize examination activities, coordinate information requests and meetings, monitor deliverables and approvals, review materials for accuracy and consistency, identify and escalate emerging risks or delays, and support timely completion of commitments. The team also facilitates periodic reviews of regulatory developments with subject matter experts to assess potential impacts and elevate matters requiring leadership attention.

Job Description Summary:

The Exam Management Group Risk Specialist supports the day-to-day execution of assigned regulatory examinations and internal audits. The individual maintains organized records, coordinates stakeholders and deadlines, reviews submissions, prepares status reporting, and helps ensure that examination activities are completed in a controlled, consistent, and professional manner. Key responsibilities include:
  • Support the examination lifecycle from initial notification and planning through fieldwork, final reporting, and closeout.
  • Maintain examination trackers, request inventories, document repositories, meeting schedules, approval records, and status reports.
  • Coordinate information requests with subject matter experts, confirm ownership and internal deadlines, and follow up on outstanding items.
  • Review draft responses and supporting evidence for completeness, responsiveness, clarity, consistency, formatting, and required approvals before submission.
  • Organize kickoff meetings, status meetings, walkthroughs, deep dives, and presentation-readiness sessions; prepare agendas, capture decisions, and track follow-up items.
  • Monitor multiple concurrent examinations or audits, identify delivery risks and dependencies, and escalate missed deadlines, unclear ownership, approval delays, or inconsistent responses.
  • Partner with Regulatory Program Management, Internal Audit, Legal, business and risk teams, and senior reviewers to support controlled communications and timely submissions.
  • Maintain accurate, auditable records in approved tools and follow requirements for confidential supervisory, privileged, and sensitive information.
  • Assist with management reporting, lessons learned, procedure updates, and continuous improvement of exam-management processes and tools.
  • Support reviews of regulatory developments by compiling information, coordinating subject matter expert input, and documenting potential impacts or escalation items.

Education & Experience:
  • Undergraduate degree or technical certificate and/or
  • 7+ years relevant experience
  • Advanced knowledge of risk management governance, programs, policies, practices, operating frameworks & reporting for business supported and/or area of discipline
  • Knowledge of risk management environment, standards, regulations and mitigation
  • Knowledge of current and emerging competitor and market trends
  • Ability to establish goals and objectives which support the strategic plan
  • Ability to lead, plan, implement, and evaluate program/project activities to ensure completion of initiatives
  • Skill in mentoring and coaching
  • Advanced skill in using analytical software tools, data analysis methods and reporting techniques

Preferred Qualifications:
  • Relevant experience in project coordination, risk management, audit, compliance, regulatory affairs, governance, operations, or financial services.
  • Strong organizational and time-management skills, including the ability to manage competing deadlines and several workstreams at once.
  • Clear, concise written and verbal communication skills and confidence interacting with colleagues at different levels of the organization.
  • High attention to detail and the ability to identify missing information, inconsistencies, unclear ownership, and approval gaps.
  • Sound judgment, discretion, and composure when handling sensitive information, changing priorities, and time-critical requests.
  • Ability to build relationships, follow up respectfully but persistently, and influence work to completion without direct authority.
  • Ability to review and synthesize complex information and translate it into clear status updates, action items, and escalation points.
  • Working knowledge of regulatory examinations, internal audits, risk and control concepts, or the three-lines model is helpful; direct examination experience is preferred but not required for a developmental candidate.
  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, Teams, SharePoint, and workflow or tracking tools; willingness to learn new examination-management technology

Customer Accountabilities:
  • Leads the development and/or implementation of specific standards, policies and/or processes that identify, report on and mitigate operational (or all major) risk exposures within the business
  • Proactively analyzes potential risks and ensures escalation of key risks to appropriate areas and/or executive review with business executive findings and action plans to mitigate and manage these risks
  • Establishes and provides on-going analysis and reporting on operational risk and/or other major risk categories as applicable to own business or functional area, and reviews findings and action plans with business leaders to mitigate and manage key issues
  • Coordinates and/or guides activities relating to core operational risk disciplines/programs including, Risk & Control Self-Assessment, Business Continuity Management, Outsourcing & Vendor Management, Regulatory Compliance (e.g. CDIC, AML, Privacy, IDA, CBA, SOX, Basel etc.)
  • Supports enterprise-wide operational risk escalation, review and approval processes, data management, policies and risk assessment processes
  • Directs the development and monitoring of Key Risk Indicators and facilitate communication and resolution of risk issues among other business segments where applicable
  • May be accountable for managing ancillary operational risk areas (e.g. BCM/incident management, outsourcing/vendor management, fraud aggregation and assessment, Basel implementation/capital analysis, change management, Privacy, AML, LCM and other regulatory issues), in addition to core functions
  • May be responsible for providing support for other major risk areas (e.g. Market, Credit, Reputational and/or Regulatory risks etc.)
  • May be a point of contact for guidance in the monitoring/reporting of compliance, management, and strategic initiatives
  • Provides broad/deep commentary in support of the development/maintenance/oversight of policies/procedures/practices, as required
