Starting Salary: $110,000
Position Summary: This position is responsible for the coordination, monitoring, and financial oversight of district state and local grant programs. The Grants Coordinator supports the administration and implementation of grant programs by monitoring budgets and expenditures, ensuring compliance with applicable grant regulations and district financial procedures, coordinating reporting requirements, and maintaining accurate grant documentation.
The Grants Coordinator serves as a key liaison among the Grants Management Office, Grants Development Office, program departments, Finance, and other district offices to support the effective and compliant use of grant funds. The position provides guidance and technical assistance to administrators and staff regarding grant budgets, fiscal requirements, reporting, and internal controls.
The Grants Coordinator also provides limited day-to-day supervisory oversight of assigned staff, including coordinating work, assigning tasks, providing training, monitoring assignments, and communicating performance concerns to the Director of Finance.
Essential Functions:- Coordinates the administration, monitoring, and financial oversight of district state and local grant programs.
- Reviews grant budgets, revenues, and expenditures to identify trends, resolve issues, and ensure funds are used appropriately.
- Ensures compliance with grant regulations, district financial procedures, internal controls, and reporting requirements.
- Coordinates required grant reports, documentation, audits, monitoring activities, and grant closeout processes.
- Maintains accurate master grant files, financial records, supporting documentation, and data for monitoring and auditing purposes.
- Collaborates with program directors, Finance, Grants Development, Information Technology, the Treasurer's Office, and other district departments to support effective grant implementation and reporting.
- Provides guidance and technical assistance to administrators and staff regarding grant budgets, allowable expenditures, fiscal allocations, compliance requirements, and reporting.
- Collects, analyzes, and interprets financial, programmatic, and student data to support grant management and required district and state reporting.
- Prepares monthly budget, financial, and grant reports for administrative review and presentation.
- Serves as the department's HR liaison and supports appropriate employee coding and assignments within SAP and Core Data.
- Provides limited day-to-day supervision of assigned staff, including coordinating work, assigning tasks, providing training, monitoring performance, and communicating concerns to the Director of Finance.
- Identifies opportunities to improve grant administration, financial controls, reporting processes, and operational efficiency.
- Performs related work as assigned.
Knowledge, Skills, and Abilities:
- Advanced skills in Microsoft Office software, particularly Excel and Access.
- Apply principles of logical thinking to define the problem, collect data establish facts, and draw valid conclusions
- Ability to interpret legislative compliance documents for respective grants
- Ability to perform complex and involved research assignments
- Ability to interpret instruction furnished in written or oral form
- Ability to efficiently use various software packages
- Work cooperatively and respectfully with agencies, groups, and individuals to establish effective working relationships
Experience:- Three years of successful relevant work experience in the administration and implementation of one or more grant programs
- Technical aptitude to troubleshoot problems and issues as it relates to any ERP system
- Three years of experience in finance, budgeting, or related field
- Supervisory experience a plus
Education:- Master's Degree with an emphasis in business, finance, education, or a related field
Physical Requirements:
- Must be physically able to operate a motor vehicle.
- Must be able to exert up to 10 pounds of force occasionally, and/or a negligible amount of force constantly to lift, carry, push, and pull or otherwise move objects, including the human body
- Must be physically able to operate a variety of equipment including computers, copiers, adding machines, etc.
- Light work usually requires walking or standing to a significant degree.
Working Conditions and Environment:
- Work is routinely performed in a typical interior/office environment
- Very limited or no exposure to physical risk
