  • 40 hours/week, 6 Month Assignment

A leading medical institution is seeking a Grants Associate to support pre-award and post-award research administration activities within a high-volume academic research environment, coordinate proposal submissions, develop preliminary budgets, maintain award documentation, and ensure compliance with sponsor and institutional requirements.

Grants AssociateResponsibilities:
  • Coordinate grant proposal preparation by gathering required documentation, preparing application components, developing preliminary budgets, and ensuring submissions comply with sponsor and institutional requirements.
  • Support post-award administration by monitoring proposal and award milestones, drafting administrative correspondence (e.g., no-cost extensions, carry-forward requests), and maintaining accurate electronic records and documentation.
  • Collaborate with Principal Investigators (PIs), Research Services Coordinators, project collaborators, and subcontractors to collect proposal materials, resolve documentation issues, and ensure timely completion of submissions.
  • Review proposals and award documentation for accuracy, completeness, formatting, compliance, and adherence to federal, state, private sponsor, and institutional guidelines.
  • Assist with research portfolio administration by tracking deadlines, maintaining funding records, supporting financial and reporting activities, and contributing to efficient research administration processes.

Grants Associate Qualifications:
  • Bachelor's degree in Business, Finance, Public Administration, Life Sciences, or a related field, or equivalent combination of education and experience.
  • Experience supporting research administration, grant proposal development, or contract and grant administration in an academic, healthcare, or research environment.
  • Familiarity with pre-award proposal preparation, proposal submission processes, sponsor guidelines, and federal research funding regulations.
  • Experience developing or supporting grant budgets, financial tracking, and award documentation.
  • Proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook.
  • Excellent written and verbal communication skills with the ability to collaborate effectively with faculty, research staff, and cross-functional stakeholders.
  • Experience in maintaining electronic document management systems and tracking proposal or award milestones.
  • Knowledge of federal, state, local, and private sponsor requirements is preferred.

Shift:
  • Monday to Friday, 8:00 am to 5:00 pm.
  • Hybrid: 2 days per week onsite.
