PERMANENT FULL-TIME POSITION IN NORTH VANCOUVERCLOSES: Open Until FilledReporting to the Administrative Manager, the Governance & Council Meeting Specialist provides advanced governance, procedural, and administrative support to Squamish Nation Council and the Chair & Council Office. This role serves as the operational lead for Council meeting administration, coordinating Council, Special Council, and Workshop meetings while ensuring governance processes, records, and decision-making procedures are managed with accuracy, integrity, and professionalism.
Working closely with Council, leadership, departments, community members, and external partners, you will play a pivotal role in supporting transparent and accountable governance. Guided by Sḵwxwú7mesh values and governance principles, you will help ensure Council business is conducted efficiently and in alignment with applicable laws, policies, and governance frameworks.

What You'll Do- Serves as the primary point of contact for departments, Councillors, external organizations, and community members seeking to present to Council.
- Provides guidance regarding Council presentation requirements, submission processes, governance procedures, and timelines.
- Coordinates the intake, review, scheduling, and administration of Council, Special Council, and Workshop meetings.
- Prepares and distributes agendas, meeting packages, presenter schedules, supporting materials, and related documentation.
- Monitors submission deadlines and ensures governance timelines and approval processes are met.
- Provides operational and in-meeting support for Council Meetings, Workshops, and Special Meetings.
- Reviews governance documentation, resolutions, and approvals for procedural compliance with governance frameworks, policies, and legislation.
- Researches governance practices, policies, bylaws, Council Resolutions, Briefing Notes, and related governance matters.
- Drafts Council motions, including In Camera motions, and accurately records Council decisions and action items.
- Maintains and tracks Council resolutions, approvals, and follow-up activities to support accountability and timely completion.
- Produces and maintains official Council records, including resolutions, meeting minutes, Records of Decision, and supporting documentation.
- Conducts governance and archival research to support reporting, documentation, and decision-making processes.
- Prepares governance reports, meeting summaries, and status updates as required.
- Supports continuous improvement initiatives related to governance processes, procedures, and records management.
- Maintains meeting technology and systems supporting in-person, virtual, and hybrid meetings.
- Performs additional governance, administrative, and project-related duties as assigned.
What We're Looking For- Diploma or Bachelor's degree in Business Administration, Social Sciences, Administrative Studies, or a related field from a recognized post-secondary institution.
- 4 - 5 years of administrative experience, preferably within an Indigenous government, public sector, or governance environment.
- Experience supporting a First Nations Council, Board, or governance organization is strongly preferred.
- Knowledge of governance processes, policies, legal frameworks, and procedural requirements.
- Strong understanding of meeting procedures and rules of order, including Robert's Rules of Order.
- Advanced proficiency with Microsoft Office applications including Teams, Word, Excel, and PowerPoint.
- Experience using Adobe Acrobat PDF Editor and virtual meeting platforms such as Zoom.
- Strong organizational skills with exceptional attention to detail, accuracy, and deadline management.
- Ability to manage multiple priorities and work independently with minimal supervision.
- Excellent interpersonal, written, and verbal communication skills.
- Ability to maintain confidentiality while handling sensitive governance information.
- Strong relationship-building skills and the ability to work effectively with Council, leadership, staff, and external stakeholders.
- Knowledge of meeting procedures and rules of order, including Robert's Rules of Order and governance procedures as applied in Council or Board settings.
- Strong research, analytical, and report-writing abilities with experience reviewing policies, resolutions, and governance documentation.
- Ability to exercise sound judgment, discretion, and professionalism when handling sensitive governance information and discussions.
- Knowledge of Squamish Nation governance, First Nations governance, Aboriginal law issues in Canada, and/or Squamish language and culture is considered a strong asset.
- Knowledge and understanding of Skwxwú7mesh Úxwumixw history, culture, customs, land, and People is preferred.
Salary: $66,689 - $93,364
