Job Summary / Responsibilities

Position Summary

The Manager, Graduate Medical Education (GME) Operations is responsible for the day-to-day administration, coordination, and operational management of Graduate Medical Education programs across the health system. The GME Manager serves as a key operational leader supporting residency and fellowship programs, program leadership, trainees, and institutional stakeholders.

This position oversees the implementation of operational processes, resident lifecycle activities, departmental projects, and administrative functions that support a high-quality learning environment and physician workforce development initiatives. The Manager collaborates closely with Program Directors, Program Coordinators, Human Resources, Medical Staff Services, Finance, Information Technology, and hospital leadership to ensure efficient and effective delivery of GME services and institutional objectives.

The role emphasizes operational excellence, program support, financial stewardship, process improvement, and organizational effectiveness while supporting compliance with applicable accreditation and regulatory requirements.

Essential Functions

Operations Management and Administration (70%)
  • Manages the day-to-day operations of Graduate Medical Education programs and institutional GME initiatives across the health system.
  • Oversees the administration of resident and fellow recruitment, onboarding, orientation, matriculation, transition, and graduation processes.
  • Supervises GME support staff, institutional coordinators, and administrative personnel; provides coaching, training, performance management, and professional development.
  • Develops, maintains, and improves operational workflows, policies, procedures, and standard work processes to enhance efficiency and service delivery.
  • Coordinates resident and fellow employment-related processes in collaboration with Human Resources, Medical Staff Services, Information Technology, Compliance, and other operational departments.
  • Oversees the maintenance and integrity of residency management systems, institutional databases, and trainee records to ensure accurate reporting and documentation.
  • Serves as a primary resource to Program Directors, Associate Program Directors, Chief Residents, and Program Coordinators regarding institutional processes, resident administration, and program operations.
  • Manages institutional programs and events including resident and fellow orientation, recruitment activities, graduation ceremonies, educational conferences, wellness initiatives, and faculty development programs.
  • Monitors operational performance metrics and develops recommendations to enhance program effectiveness, trainee satisfaction, onboarding efficiency, and administrative support services.
  • Coordinates institutional projects and process improvement initiatives designed to strengthen GME operations and improve the trainee experience.
  • Collaborates with hospital leadership to support physician pipeline development, graduate medical education growth initiatives, and workforce planning efforts.
  • Facilitates communication among program leadership, trainees, hospital departments, and external stakeholders to promote operational efficiency and organizational alignment.
  • Assists with development and implementation of institutional policies and procedures related to graduate medical education.

Financial Management and Resource Coordination (15%)
  • Assists in the preparation, monitoring, and administration of Graduate Medical Education operating budgets.
  • Tracks departmental expenditures, educational funding, recruitment expenses, and operational costs to support responsible fiscal management.
  • Collaborates with Finance leadership to prepare reports, analyze budget performance, and identify opportunities for operational efficiencies.
  • Assists with resident complement tracking, workforce planning data, and financial analyses that support program growth and institutional decision-making.
  • Supports GME-related financial processes, educational resource allocation, and operational planning activities.

Program Support and Strategic Initiatives (15%)
  • Supports the Designated Institutional Official (DIO), VPAA, Program Directors, and GME leadership in achieving institutional goals and strategic priorities.
  • Assists with new program development, complement changes, participating site administration, and other strategic growth initiatives.
  • Provides operational support for Graduate Medical Education Committee (GMEC) activities, meeting coordination, reporting requirements, and follow-up actions.
  • Coordinates accreditation-related activities, institutional reviews, site visit preparation, and documentation processes as assigned.
  • Assists in the collection, analysis, and reporting of operational and educational data to support continuous improvement initiatives and organizational decision-making.
  • Participates in committees, workgroups, and special projects that advance institutional objectives and strengthen the learning environment.
  • Performs other duties as assigned.

Required Education

Bachelor's degree in Healthcare Administration, Business Administration, Public Administration, Education, Health Sciences, or a related field.

Master's degree in Healthcare Administration (MHA), Business Administration (MBA), Public Health (MPH), Education, or related field.

Preferred Experience
  • Experience in a community teaching hospital, academic healthcare system, or Graduate Medical Education environment.
  • Experience supporting residency and fellowship programs.
  • Familiarity with residency management systems such as MedHub or New Innovations.
  • Working knowledge of ACGME requirements, NRMP processes, and healthcare regulatory environments.
