Summary/Primary Role:

This role supports Brightcore's geothermal drilling business development by managing Starbridge (Brightcore's AI-driven bid-discovery platform) and other sourcing platforms, continuously monitoring them for opportunities where Brightcore could bid drilling-only/borefield scope, and proactively researching potential opportunities that have not yet been publicly posted. The role performs first-pass qualification, prepares compliance and bid-response materials, and owns day-to-day data management for all tracked opportunities across HubSpot (CRM) and Monday.com (pipeline/project tracking) - working closely with the Business Development Lead, Geothermal, who owns GC/CM/OPM relationships and pursuit decisions, and the Director of Estimating.

Principal Duties & Responsibilities:

(Management may amend or assign duties and responsibilities to this job at any time)

Drilling-Only Opportunity Sourcing & Platform Management
  • Own day-to-day management of Starbridge - Brightcore's AI-driven platform for surfacing potential geothermal RFPs/bids - and any other bid boards, plan rooms, or sourcing platforms Brightcore subscribes to, including configuring searches/alerts and maintaining platform access.
  • Continuously monitor all subscribed platforms for solicitations containing geothermal drilling or borefield scope, including as a subset of larger GC/CM-led bids.
  • Proactively research and surface potential drilling-only opportunities that are not yet publicly posted or listed on any platform, through channels such as public planning/permitting records, GC/CM project announcements, industry news, and other market-intelligence sources.
  • Maintain a running, organized log of identified opportunities and their source (platform, research, or referral).
  • Perform first-pass screening of opportunities against Brightcore's drilling capability, capacity, and target geography (Massachusetts, Connecticut, Rhode Island, Maine, New York, and New Jersey), and flag qualifying opportunities to the Business Development Lead, Geothermal for a pursuit decision.

Bid Document Review
  • Review RFPs, RFQs, addenda, and bid documents to identify drilling-only scope, submission requirements, and key dates.

Prequalification & Compliance Administration
  • Prepare and maintain vendor prequalification packages and bonding documentation (bid, performance, and payment bonds).
  • Maintain organized jurisdictional compliance records to support bid readiness.

Bid Response Administrative Support
  • Assemble qualification packages, pursuit materials, and submission documents for the Business Development Lead, Geothermal's and Director of Estimating's review.
  • Coordinate estimating and administrative inputs across engineering, operations, and finance, and track submission requirements and deadlines.
  • Support post-submission logistics, including compiling clarifications and coordinating interview scheduling.

CRM & Pipeline Data Management (HubSpot + Monday.com)
  • Own day-to-day data management for all tracked opportunities across HubSpot (CRM) and Monday.com (pipeline/project tracking) - the single point of ownership for keeping both systems accurate and current.
  • Ensure every identified opportunity is logged, staged, and updated in HubSpot by source and maturity, and reflected in Monday.com for task/deadline tracking.
  • Maintain organized pursuit and opportunity tracking documentation across both platforms.
  • Provide regular reporting to the Business Development Lead, Geothermal and Director of Estimating on bid-board coverage and pipeline volume.
  • All other duties and responsibilities as assigned.

Qualifications:

  • Bachelor's degree preferred, not required.
  • High attention to detail and comfort with high-volume, repetitive document review.
  • Familiarity with construction bid processes, plan rooms/bid boards, or public procurement is a plus.
  • Self-directed and organized, with the discipline to sustain a daily/weekly monitoring cadence.
