Job Description:We are searching for the best talent for
GBP Coordinator/Administrative Assistant. This hybrid role will be in Raritan, NJ.
The Global Brand Protection Coordinator/Admin Assistant reports to the Vice President, Global Brand Protection, and serves as a trusted partner to the VP, leadership team, and broader global organization. This role provides administrative, operational, and coordination support to help advance business priorities, manage key processes, and enable an efficient, connected team environment.
Key ResponsibilitiesAdministrative & Team Support
- Provide comprehensive administrative support to the Vice President, leadership team, and global organization.
- Manage complex executive calendars to align with business priorities and stakeholder needs.
- Plan and facilitate monthly team meetings, including agendas, materials, and logistics.
- Coordinate logistics for on-site and off-site leadership meetings and global events.
- Monitor critical communications, including the Brand Protection Alerts mailbox, and escalate issues to appropriate stakeholders.
Coordinator & Process Management
- Manage procurement and contracting activities, including supplier setup, purchase orders, and agreements in enterprise systems.
- Coordinate supplier onboarding activities and provide administrative support for global initiatives and project teams.
- Facilitate onboarding for employees, contractors, and temporary staff, including required documentation and system access.
- Serve as a central point of contact for workplace logistics, including equipment, facilities, and organizational communications.
Financial & Budget Management
- Track purchase orders and expenditures to support timely processing and budget alignment.
- Partner with leadership to monitor financial activity and resolve discrepancies.
- Ensure accuracy and accountability of monthly accrual reporting to support financial transparency and compliance.
QualificationsRequired
- Associate's degree required; bachelor's degree preferred.
- At least 6 years of administrative experience supporting senior leadership in a global organization.
- Ability to maintain confidentiality, operate with professionalism, and respond with a sense of urgency.
- Excellent judgment with the ability to anticipate and solve problems proactively; strong attention to detail and organization.
- Strong proficiency in Microsoft Office applications, including Excel and PowerPoint, and other systems as needed.
- Advanced experience with calendar management, meeting coordination, and event support.
- Experience managing budgets, procurement processes, and vendor coordination.
- Excellent communication, interpersonal, and stakeholder management skills.
- Ability to work independently, prioritize effectively, and manage competing demands.
- Demonstrate leadership through ethical decision-making, accountability, and commitment to patients, customers, and colleagues.
Preferred
- Ability to learn financial tools and processes.
- Experience developing agendas and facilitating team meetings.

The anticipated base pay range for this position is :$63,000.00 - $101,430.00
Additional Description for Pay Transparency:
Subject to the terms of their respective plans, employees are eligible to participate in the Company's consolidated retirement plan (pension) and savings plan (401(k)).
Subject to the terms of their respective policies and date of hire, employees are eligible for the following time off benefits:
Vacation -120 hours per calendar year
Sick time - 40 hours per calendar year; for employees who reside in the State of Colorado -48 hours per calendar year; for employees who reside in the State of Washington -56 hours per calendar year
Holiday pay, including Floating Holidays -13 days per calendar year
Work, Personal and Family Time - up to 40 hours per calendar year
Parental Leave - 480 hours within one year of the birth/adoption/foster care of a child
Bereavement Leave - 240 hours for an immediate family member: 40 hours for an extended family member per calendar year
Caregiver Leave - 80 hours in a 52-week rolling period10 days
Volunteer Leave - 32 hours per calendar year
Military Spouse Time-Off - 80 hours per calendar year
