Full Job Description
Fleet Operations Manager LOCATION Corporate / Hybrid ROLE FOCUS Fleet Operating System Execution Travel - up to 75% (this position should spend most of their time in the field). FLSA STATUS Full-Time, Exempt Position Overview The Fleet Operations Manager translates Sperber's fleet strategy into consistent execution across operating businesses. The role owns day-to-day Fleet Operating System discipline, including Fleetio adoption, maintenance workflows, compliance execution, shop and vendor alignment, data quality, and branch accountability. Key Responsibilities 1. Fleet Operating System & Fleetio Serve as the operational owner and subject matter expert for Fleetio workflows and adoption. Standardize PM, repairs, work orders, DVIRs, faults/recalls, parts, asset status, and maintenance documentation. Monitor usage and data quality; address adoption gaps through training and corrective action. 2. Maintenance Operating Model Implement consistent maintenance standards and help determine the right in-house, outsourced, or hybrid model by location and asset type. Identify work that should shift in-house or to external providers based on capability, cost, downtime, and quality. Standardize PM, repair authorization, escalation, vendor performance, and repair-versus-replace practices. 3. Shop & Mechanic Performance Partner with shop managers and mechanics to standardize workflows, responsibilities, and accountability. Monitor technician workload, PM compliance, aging work orders, downtime, repeat repairs, parts usage, and outsourced repair activity. Support appropriate mechanic staffing and consistent shop operating practices. 4. Compliance & Training Coordinate DOT, FMCSA, IFTA, HUT, registration, permitting, and related fleet compliance with Fleet Administration and Safety. Maintain compliance calendars, exception reporting, audit readiness, and corrective-action tracking. Develop role-based Fleetio training, SOPs, and job aids for branches, shops, mechanics, and fleet users. 5. Performance, Data & Asset Lifecycle Maintain reliable fleet data and manage by exception using maintenance cost, CPM, PM compliance, downtime, utilization, repair frequency, and Fleetio adoption. Support annual asset inventory and accurate asset additions, transfers, status changes, and disposals. Provide maintenance, condition, utilization, and repair-cost information to support lifecycle and CapEx decisions. 6. Branch & Regional Execution Serve as the primary operational Fleet resource for branch and regional leaders. Conduct periodic branch/shop reviews, track corrective actions to closure, and escalate systemic process, vendor, technology, or compliance issues. 7. shop safety and compliance, inventory management and controls Key Performance Indicators Performance will be measured through a Fleet scorecard focused on: • PM compliance • Internal vs. outsourced maintenance mix • Fleetio adoption / data completeness • Repeat repairs • Open and aging work orders • Compliance exceptions • Fleet downtime • Asset inventory accuracy • Maintenance cost / CPM trends • Corrective-action closure Qualifications 5+ years in fleet operations, maintenance management, fleet systems, or multi-location fleet operations. Experience supporting decentralized operations, internal shops, and/or outsourced maintenance providers. Working knowledge of vehicle/equipment maintenance and DOT, FMCSA, IFTA, registration, and related compliance requirements. Fleet management system experience; Fleetio strongly preferred. Strong analytical, training, process-improvement, and change-management skills; ability to influence without direct authority. Ability to travel periodically to operating locations. Preferred: Commercial landscaping, construction, or field-services experience; Fleetio implementation/relaunch experience; bilingual English/Spanish. What Success Looks Like First 90 Days Establish baseline Fleetio adoption, data quality, maintenance-model, and compliance metrics by business. Standardize priority Fleetio workflows, training, scorecards, and exception-management routines. Identify immediate opportunities to improve PM compliance, downtime, maintenance sourcing, and data accuracy. First 6-12 Months Establish consistent Fleetio and maintenance operating practices across applicable businesses. Improve PM compliance, maintenance documentation, shop/vendor performance, and asset data accuracy. Provide reliable operational data for repair-versus-replace, CapEx, staffing, and maintenance sourcing decisions. Build a repeatable Fleet Operating System capable of supporting future acquisitions and growth.
