Description

Position Summary:

The Finance & Sales Operations Manager provides hands-on administrative and financial coordination for the home sales process from executed contract through financing, closing, title, and move-in, ensuring transactions are accurate, compliant, and completed on time.

PERFORMANCE OBJECTIVES:
  • Manage post-sale transactions from executed contract through financing, closing, title, and move-in, tracking deadlines and resolving or escalating delays.
  • Coordinate with lenders on finance files, loan conditions, approvals, documentation requests, and funding requirements.
  • Prepare and coordinate closing documents, funding confirmations, title processing, and required compliance documentation.
  • Maintain accurate national inventory records and prepare sales reporting for pipeline activity, pending transactions, closings, and move-ins.
  • Manage homeowner warranty communications and coordinate manufacturer or vendor bill backs through documentation, follow-up, and resolution.
  • Support sales administration through contract management, commission backup, licensing and compliance tracking, document collection, reporting, and organized sales files.
  • Partner with Sales, Operations, Construction, Accounting, lenders, title partners, vendors, and community teams to keep transactions accurate, compliant, and moving forward.


Requirements

KEY COMPETENCIES:
  1. Administrative Ownership: Takes responsibility for assigned transaction files, trackers, documentation, and follow-up from executed sale through move-in.
  2. Financial and Document Fluency: Works confidently with loan documents, funding requirements, closing records, commissions, and sales reports while knowing when to escalate financial decisions.
  3. Communication and Customer Service: Communicates clearly, professionally, and promptly with buyers, lenders, vendors, sales professionals, and internal stakeholders.
  4. Organization and Attention to Detail: Maintains accurate records, complete transaction files, reliable trackers, and deadline-driven follow-up across multiple active sales.
  5. Problem Solving: Identifies missing information, conflicting data, and process delays; resolves routine issues and escalates exceptions appropriately.

EDUCATION & EXPERIENCE:
  • 3+ years of experience in sales administration, transaction coordination, office operations, finance administration, loan processing, escrow/title support, or a related role preferred.
  • Experience coordinating document-intensive, deadline-driven processes; exposure to consumer lending, manufactured housing, real estate closings, title, or escrow is strongly preferred.

PHYSICAL REQUIREMENTS:
  • Physical Activities: Constantly sit; Frequently stand, walk, use hands, reach with hands and arms, climb or balance, stoop, kneel, crouch or crawl, talk or hear
  • Lifting Requirements: Up to 25 lbs.
  • Environmental Conditions: Extreme heat, temperature changes, noise
