This role is responsible for ensuring Rincon's workplaces support operational effectiveness, team member experience, client-facing professionalism, and consistency across our offices.

The Facilities Manager will lead real estate planning, site selection, lease negotiations and renewals, workplace standards, facilities operations, vendor management, capital improvements, and space planning. This position will play an important role in ensuring Rincon's physical footprint aligns with our growth strategy, geographic expansion, and long-term operational needs.

Reporting to the Director, People Services, this role will partner closely with Accounting, Legal, Operations, IT, Office Managers, and company leadership to deliver safe, efficient, professional, and well-managed workplace environments.

How We Collaborate

This role may offer a hybrid work setup, blending time in the office with remote work as business needs evolve. We enjoy coming together in person to collaborate, connect with teammates, and partner across the organization.

Because this position oversees Rincon's physical office environments and supports facilities needs across multiple locations, regular in-person presence and travel between Rincon offices may be required based on business and project needs. Preferred locations: Ventura, Santa Barbara, SLO, San Diego, and Sacramento.

What You'll Do
  • Lead the strategic oversight and day-to-day management of Rincon's leased office locations.
  • Partner with the Director, People Services and executive leadership to assess geographic expansion needs and evaluate opportunities for new offices, relocations, or consolidations.
  • Identify and evaluate potential office locations based on operational, financial, accessibility, and brand considerations.
  • Conduct due diligence and develop business cases and recommendations for prospective office locations and real estate decisions.
  • Lead lease negotiations and renewals in partnership with Finance and Legal, ensuring terms align with Rincon's long-term operational strategy.
  • Manage landlord and property management relationships, monitor lease requirements, and proactively manage renewal timelines.
  • Establish and maintain workplace standards that reflect Rincon's brand, professionalism, and culture across office layouts, furnishings, signage, and client-facing spaces.
  • Oversee office build-outs, renovations, capital improvements, and space planning.
  • Manage facilities vendors supporting maintenance, cleaning, security, utilities, and other building services.
  • Establish and oversee preventative maintenance programs and address facilities issues promptly to minimize operational disruption.
  • Develop and manage facilities budgets, monitor operating expenses, and identify opportunities for cost optimization.
  • Partner with Finance on long-term capital planning and real estate forecasting
  • Coordinate building compliance with applicable safety requirements and partner with Safety leadership to support workplace safety standards.
  • Support emergency preparedness and business continuity planning across Rincon locations.

What You'll Bring
  • 8+ years of progressive experience in facilities management, corporate real estate, corporate services, or a related field.
  • Demonstrated experience negotiating leases, managing renewals, and maintaining productive landlord and property management relationships.
  • Strong vendor management experience across facilities, maintenance, building services, or related functions.
  • Experience developing and managing facilities budgets, operating expenses, and cost controls.
  • Strong project management skills with experience coordinating multiple stakeholders, priorities, vendors, and timelines.
  • Ability to develop thoughtful recommendations and business cases related to office locations, real estate decisions, and capital investments.
  • Strong stakeholder partnership skills with the ability to collaborate effectively across Finance, Legal, Operations, IT, People Services, and organizational leadership.
  • Ability to balance strategic planning with hands-on oversight of day-to-day facilities operations.
  • Strong communication, organization, problem-solving, and decision-making skills.

Nice to Have
  • Experience supporting facilities or corporate real estate operations across multiple office locations.
  • Experience with office site selection, relocations, consolidations, and new office openings.
  • Experience overseeing workplace design, office build-outs, renovations, and capital improvement projects.
  • Experience developing workplace standards across multiple locations or offices
  • Experience with long-term capital planning and real estate forecasting
  • Experience supporting workplace safety, emergency preparedness, and business continuity initiatives.
  • Experience working within a professional services, consulting, or similarly distributed organization.
