Facilities Manager

Full-Time, Exempt

Lighthouse Electric is seeking an experienced Facilities Manager to oversee and strengthen facility operations across our growing organization. With seven facilities spanning three states, this role will provide centralized leadership for how our locations are maintained, supported and managed while accounting for the unique needs of each facility.

Based in the Pittsburgh area, the Facilities Manager will oversee day-to-day facility operations, vendor and service provider relationships, space planning, maintenance and facility improvement initiatives. This individual will partner closely with company leadership, designated facility contacts, enterprise teams such as Legal, Human Resources, Technology, Safety, Marketing, and resources at each location to understand needs, coordinate resources and coordinate solutions.

This is both a functional leadership and hands-on role. The Facilities Manager will be expected to establish structure and standards for the facilities function while remaining actively involved in solving day-to-day issues. As Lighthouse continues to grow, this individual will also help develop the processes, systems and resources needed to effectively support a larger and increasingly distributed facility portfolio.

Regular travel to Lighthouse Electric locations is required, with travel estimated at up to 30%.

Key Responsibilities

Enterprise Facilities Management
• Provide overall functional leadership and direction for facility operations across all Lighthouse Electric locations.
• Develop a facilities approach that aligns with company operations, employee needs and continued organizational growth.
• Create and maintain company-wide facility standards, policies, procedures and best practices.
• Establish scalable processes that improve consistency, visibility and accountability across locations.
• Serve as the primary internal resource for facilities matters and provide guidance and mentorship to designated facility contacts and other employees supporting facility needs.
• Work with senior leadership to evaluate current and future facility needs, establish priorities and recommend improvements.
• Help ensure facility decisions and investments appropriately support the needs of the business.

Facility & Workplace Operations
• Oversee ongoing facility operations including maintenance, repairs, building systems, security, janitorial services, mail services and workplace amenities.
• Develop and coordinate preventive maintenance programs and establish processes for tracking facility issues through completion.
• Oversee space planning and facility utilization as workforce and operational needs change.
• Establish and maintain furniture and workplace standards across the organization.
• Partner with Safety and other internal stakeholders to support applicable safety, environmental and regulatory requirements.
• Develop, manage and monitor annual operating and capital budgets related to facilities, services and improvement projects.
• Maintain awareness of facility conditions and proactively identify maintenance, repair and improvement needs.

Systems, Information & Process Improvement
• Evaluate, implement, and utilize facilities management technology to improve how facility information, service requests, maintenance activity and documentation are managed.
• Maintain centralized visibility into facility assets, work orders, maintenance requirements, vendor activity and other key facility information.
• Develop and maintain organized records related to facilities, vendors, assets, leases, service agreements and other facility documentation.
• Use available data to evaluate facility costs, utilization, vendor performance and overall operational effectiveness.
• Identify opportunities to simplify, standardize or automate recurring facilities processes.
• Research and support the implementation of new facilities management platforms, systems and building technologies as appropriate.

Vendors, Contracts & Facility Projects
• Serve as the primary point of coordination for landlords, property managers, contractors, vendors and service providers supporting Lighthouse facilities.
• Identify, source and coordinate vendors for maintenance, repairs and facility improvement needs.
• Negotiate and administer facility-related contracts and service agreements..
• Monitor vendor performance and costs and address service issues when expectations are not being met.
• Lead renovations, relocations, expansions and capital improvement projects from initial planning through completion.
• Coordinate internal teams, external partners, schedules and resources required to successfully execute facility projects.

Multi-Site Operations & Growth
• Maintain regular visibility into the condition, needs and priorities of Lighthouse Electric facilities through routine communication and site visits.
• Travel to facilities throughout the organization, including out-of-state locations in Columbus, Ohio and Richmond, Virginia.
• Conduct routine facility assessments and identify opportunities to improve operations or bring locations into alignment with company standards.
• Coordinate vendors and service providers in each market to ensure facility needs are addressed effectively and in a timely manner.
• Partner with designated facility contacts to understand local needs, establish priorities and follow issues through resolution.
• Take the lead on facilities planning and coordination for new locations, expansions, relocations and other significant facility changes.
• Support the continued development of a consistent facilities experience as Lighthouse expands into new locations and markets.
• Travel up to 30% as needed to support facilities across the organization.

Required Skills & Qualifications

• 5+ years of progressive facilities management experience, including responsibility for leading facility initiatives and working across multiple departments or functional teams.

• Experience overseeing multiple facilities, preferably across more than one geographic market.

• Ability to develop longer-term facility plans and processes while remaining actively involved in daily operational needs.

• Strong working knowledge of building systems, facility operations, maintenance, vendor management, space planning and project management.

• Experience developing or managing facility-related budgets, contracts and capital improvement projects.

• Experience using facilities or workplace technology platforms and proficiency with Microsoft Office applications.

• Strong analytical, organizational and problem-solving skills.

• Strong communication and relationship-building skills with the ability to work effectively with employees, leadership, vendors and other external partners.

• Ability to independently manage priorities, respond to changing needs and take facility initiatives from identification through completion.

• Bachelor's degree in Facilities Management, Business Administration, Engineering, Construction Management or a related field preferred.

Preferred Skills & Qualifications

• Experience supporting a mix of corporate office, operational and/or industrial facilities.

• Experience managing or supporting facilities across multiple states or geographic markets.

• Familiarity with facilities management platforms, building technologies, asset management systems and data-driven facilities practices.

• Experience evaluating, selecting or implementing facilities management technology.

• Experience supporting new facility openings, relocations, expansions or significant renovation projects.

Travel Requirements

• Ability and willingness to travel regularly between Lighthouse Electric facility locations, including overnight travel when required.

• Estimated travel of up to 30%.

What Success Looks Like

The Facilities Manager will bring ownership and structure to a growing, multi-site facilities environment. This person should be proactive in identifying needs, comfortable making recommendations and capable of moving between long-term planning and immediate operational issues as priorities require.

Success will also depend on the ability to build strong working relationships across the organization. Because many facility needs involve employees and resources outside of the Facilities function, this individual must be able to coordinate effectively, influence without direct authority and follow issues through until they are resolved.

As Lighthouse continues to grow, the Facilities Manager will be expected to continuously improve how our facilities are managed, create greater consistency between locations and build systems and processes that can scale with the organization.
