FACILITIES MANAGER

POSITION OVERVIEW

The Facilities Manager is responsible for managing an executive office location and overseeing all line of business and third-party relationships within the assigned building. This role requires systems administration of a computerized maintenance management system (CMMS), facility service request (FSR) system Corrigo, comprehensive reporting, facilities support, and direct client engagement. The Facilities Manager will ensure operational excellence, compliance with all regulations, and exceptional service delivery across assigned facilities.

KEY RESPONSIBILITIES

Facility Operations Management
  • Manage the performance and outcomes of all requested facility services in accordance with established standards, processes, and procedures
  • Maintain interface with third-party owners, ensuring total contract compliance, accurate and timely reporting, and resolution of critical tenant relations issues
  • Ensure compliance with portfolio-wide initiatives and all local, state, and federal laws and regulations pertaining to facility operations
  • Manage and oversee site operations in accordance with all agreed policies, procedures, and contract scope
  • Coordinate internally with cross-functional teams including security and capital projects


Systems Administration & Technology
  • Oversee JLL Corrigo work order process, systems, and associated data continuity for central and facility management/reporting
  • Manage CMMS system administration to maximize Corrigo capability and ensure database integrity and standardization
  • Comply with all client CMMS standards and specifications
  • Work with central team managers to optimize and enhance systems, including configuration of notification messages, print formats, and communication mechanisms
  • Develop and deploy inspection, assessment, and audit forms supporting building facility and engineering teams
  • Track all asset information, including spare parts and documentation
  • Ensure compliance with JLL processes (Corrigo, JCAP, SOPs)


Budget & Financial Management
  • Prepare, submit, and manage facility budgets aligned with client goals and objectives
  • Track budget variances and ensure smooth recovery processes
  • Support implementation of innovative programs and processes that reduce operating costs and increase productivity


Maintenance & Vendor Management
  • Plan, schedule, coordinate, and assign all frequency and work type maintenance activities using industry and client best practices
  • Assist with vendor management for maintenance services including janitorial, mechanical, electrical, plumbing, carpentry, critical systems, and HVAC
  • Support the sourcing SME and area/site managers through the vendor contract procurement process
  • Supervise vendor performance during normal and off-hours, including weekends when necessary
  • Maintain liaison with facilities technicians and management regarding work execution, schedule alterations, and manpower status
  • Collect data and collaborate with operations team to optimize maintenance programs


Project & Event Support
  • Implement short and long-term projects for the client
  • Oversee activities to support site operations including moves/reconfigurations, events, safety programs, reception, and mail services


Client Relationship Management
  • Proactively develop and manage client relationships, ensuring expected service levels are achieved
  • Comply with all requirements of client contracts and meet or exceed key performance indicators
  • Deliver exceptional quality of service to clients, as reflected by client feedback
  • Provide comprehensive facilities support and direct client engagement


Team Leadership & Development
  • Support excellent onboarding, training, and team building initiatives
  • Actively foster an environment of teamwork, cooperation, performance excellence, and personal success
  • Participate in individual performance management programs and personal development planning
  • Align with facilities leadership team and act as an ambassador for JLL, adopting and maintaining the firm's core values of Teamwork, Ethics, and Excellence
  • Matrix manage both technical and administrative staff
  • Oversee multiple facilities with different functions

REQUIRED SKILLS & QUALIFICATIONS

Education & Experience
  • Bachelor's degree or equivalent work experience in Facilities Management with management/technical emphasis
  • Minimum of 8 years industry experience in corporate environment, third-party service provider, or consulting capacity


Technical Skills
  • Proficiency in CMMS systems with supervisory responsibilities
  • Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint)
  • Proficiency in MS SharePoint
  • Knowledge of Corrigo FSR system administration and reporting
  • Understanding of building systems and facility operations

  • Demonstrated track record of cost reduction and productivity improvement programs
  • Experience with JLL-specific processes and systems (JCAP, SOPs)
  • Background in executive office or corporate headquarters environments
  • Certification in Facilities Management (CFM) or similar professional credentials

WORK ENVIRONMENT

This position may require flexibility in work hours, including availability during off-hours and weekends when necessary to oversee vendor performance and address critical facility issues.
