About the Role

The Facilities Director will own the strategy and day-to-day operations of mpathic's physical office environments. This role is responsible for managing facilities, vendors, leases, workplace security, office operations, and compliance across multiple locations.

This is an ideal role for someone who thrives on organization, anticipates problems before they occur, enjoys building scalable processes, and is comfortable balancing strategic planning with hands-on execution. As a growing startup, no two days are the same-you'll need to be comfortable traveling between offices, solving unexpected issues, and continuously improving how we operate.

Responsibilities

Facilities Operations
  • Own the day-to-day operation of all mpathic office locations.
  • Conduct regular site visits to ensure offices are clean, organized, secure, and operating efficiently.
  • Develop and maintain workplace standards across all locations.
  • Manage office furniture, equipment, storage, and physical assets.
  • Ensure offices are appropriately stocked with supplies, snacks, beverages, and workplace essentials.

Lease & Vendor Management
  • Manage office leases, renewals, expansions, and landlord relationships.
  • Coordinate with legal and finance on lease negotiations and renewals.
  • Own relationships with building management and service providers.
  • Source, negotiate, and manage vendors including:
    • Maintenance
    • Cleaning services
    • Security
    • HVAC
    • Internet providers
    • Office services
  • Track vendor performance, invoices, and service-level expectations.

Maintenance & Workplace Support
  • Serve as the primary point of contact for maintenance requests across all offices.
  • Coordinate repairs and preventative maintenance.
  • Ensure offices remain fully operational with minimal disruption.
  • Manage emergency response plans and facility issues when they arise.

Physical Security
  • Own office access systems including key cards, badges, and access permissions.
  • Manage employee and contractor physical access.
  • Maintain visitor procedures and office security protocols.
  • Partner with IT and Security on physical security initiatives.

Compliance & Workplace Readiness
  • Travel regularly to office locations to audit facilities for operational readiness and compliance.
  • Ensure offices comply with company policies, safety standards, and local regulations.
  • Support workplace safety programs and emergency preparedness.
  • Maintain documentation related to facilities, inspections, and compliance requirements.

Office Experience
  • Create welcoming, productive workplace environments for employees and visitors.
  • Manage snack and beverage programs across offices.
  • Coordinate office improvements and workplace enhancements.
  • Partner with People Operations to support employee onboarding and office logistics.
