What's the role?

This position offers hands-on experience supporting real estate, facilities, and workplace operations through a blend of analytics, systems, reporting, and process coordination. The role provides support to day-to-day facilities and workplace services, business process improvement, and the function's technology tools that support operational excellence across REFM.

The Facilities Admin will assist with the development and execution of real estate, facilities, and workplace programs by supporting standardized analytics, metrics, reporting, and operational processes. This role also contributes to the adoption of new technology tools and data-driven workflows that improve visibility, efficiency, and decision-making. The ideal candidate is highly organized, detail-oriented, adaptable, and interested in workplace operations, systems, and continuous improvement.

Here's what you'll do:
  • Support the REFM team in the coordination and administration of real estate, facilities, and workplace initiatives.
  • Support coordination of REFM systems, tools, and technology-related initiatives.
  • Assist with activities related to the design, implementation, and optimization of service management tools.
  • Ensure data integrity and maintain accurate records across multiple enterprise platforms.
  • Collaborate with internal technical teams and external vendors to support reporting needs, resolve data gaps, and monitor system trends.
  • Support analysis of business needs to help inform real estate and workplace planning through metrics, reporting, and project coordination.
  • Assist with meeting, conference room, and event setup and breakdown.
  • Support purchase request and purchase order entry, tracking, and follow-up.
  • Coordinate updates to real estate, lease, and occupancy data in centralized systems to support accurate reporting and compliance tracking.
  • Support change management activities related to new business process and technology deployments, including communications, user guidance, and issue tracking.
  • Assist in developing and maintaining reports, dashboards, transaction logs, and tracking tools for work orders, expenditures, vendor performance, and service levels.
  • Support the use of AI-enabled analytics and reporting tools to identify trends, recurring issues, and opportunities for operational improvement.
  • Assist in preparing timely, data-driven updates for Facilities and Real Estate leadership.


Do you qualify?

  • Exposure to analytics, dashboards, reporting, and enterprise systems used to support operational decision-making.
  • Hands-on experience supporting real estate, facilities, and workplace operations in a corporate environment is a plus.

Compensation
  • Salary Range: The annual pay range for this position is $74,000 - $92,000
  • Actual compensation will depend on factors such as location, experience, education, skills, and role scope
  • Eligible for performance bonus or sales commissions
