Full Job Description
The Experience Services Meeting & Event Manager's main duty is to ensure exemplary service to JLL employees and their guests by supervising a multi-floor conference facility. The Experience Services Meeting & Event Manager will plan and execute events and all conference facility operations. The Experience Services Meeting & Event Manager should lead by example in providing service and motivate and counsel his/her team to strive for excellence.

Role Responsibilities

Management
  • Oversee the elite level of service provided to all clients and maintaining the highest levels of service standards
  • Responsible for planning and executing meetings and events. Create design, manage vendors, lead execution and oversight of the Food and Beverage budget
  • Conduct ongoing training with the staff to ensure they have a thorough understanding of their role and responsibilities and completing all tasks as assigned
  • Assists with interviewing and evaluating conference center team members
  • Providing guidance in all aspects of high-end customer service and adherence of company policies
  • Manage and supervise a team of conference facility staff, providing daily support and supervision of their job performance
  • Counsels and coaches team members regarding unsatisfactory performance, including recommendation of terminations when appropriate and as directed by the Workplace Manager
  • Maintains team to client expectations and enthusiastically upholds all policies and procedures
  • Holds weekly staff meetings to discuss upcoming events and expectations
  • Meets and exceeds departmental goals and follows positive paths of attainment
  • Encourages team participation and promotes enthusiasm
  • Assists with other management requests and tasks as needed


Conference Facilities
  • Overseeing the day-to-day operations of multi-level conference facility including reception, conference/training rooms, catering, cafes and events
  • Will be the point person for internal and external meetings, event planning services and execution
  • Monitor staff performance and provide ongoing feedback along with areas of improvement
  • Manage & support throughout the Catering process, including but not limited to:
  • Maintain systems and procedures for ordering, receiving, storing, and presenting food and beverages
  • Responsible for the planning and execution of internal and external meetings and events
  • Meet with host of internal and external meetings and event to confirm specifics (set-up, cost center/credit card, menu selection, staff, etc.)
  • Have room set up as instructed by host
  • Provide coverage for internal and external meetings and events if needed (coat checker, monitoring alcoholic drinks, etc.)
  • Securing all catering orders through current vendors established by the client's ordering system
  • Daily interaction with employees, stakeholders and their guests
  • Conduct several walk throughs of the facility each day to ensure meetings/events are running smoothly and facilities are presentable, hospitable and available.
  • Expedite catering orders
  • Troubleshoot catering orders
  • Confirm meetings and catering/vendor orders
  • Comply with local and national requirements related to food handling safety
  • Successfully complete food handling certification, where required and ensure all team members have completed their certification.
  • Assist client in the internal and external meeting and event planning process including placing and receiving orders
  • Maintain a relationship with local suppliers and understand commitment to sustainable practices, composting, and healthy alternatives
  • Understand and articulate the requirements for alcohol service onsite
  • Create filing system to storage pending, current and previous orders
  • Submit/process billing to building departments as necessary using tracking system ensuring coding is accurate.
  • Build relationships and rapport with the booking administrators within JLL to increase usage of conference center and catering services offered.
  • Provide guidance and expertise for JLL and AON Center to host cost effective hospitality-minded events throughout the year to help drive RTO initiatives
  • Assist with implementing and maintaining Sustainability initiatives
  • Maintain stock and supplies providing an adequate inventory while staying within the parameters of the approved budget.


Education/Experience
  • Bachelor's Degree preferred or equivalent work experience in event planning/conference facility management
  • At least three years' experience as an event planning/conference center management
  • At least two years' experience in a supervisory position in an event planning environment

  • Proficient knowledge of conference facility operations including room set up, A/V, conference scheduling software, etc.
  • Experienced in maintaining catering and inventory systems for ordering, receiving, storing, presenting food and beverage in conference areas

Estimated compensation for this position:

80,900.00 - 117,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
