About the Role

The Americas Institutional Group (AIG) seeks an Executive Assistant (EA) to support the relationship management efforts of the firm’s institutional clients. This role will directly support Business Development Managers including the Director of Endowments and Foundations team as well as Relationship Managers focused on servicing and growing our client base.

The Executive Assistant plays an integral part of our client-facing efforts within the Client Group, providing dedicated support to a number of managers and other professionals. The EA also works closely with other assistants in the group and on their team to meet the needs of the business. This position works with the AIG team on a day-to-day basis but is also part of the Client Platform’s broader administrative team.

RESPONSIBILITIES

Specific responsibilities include:

  • Diligent and proactive calendar management in Outlook for senior professionals

  • Meeting coordination between investment professionals and the manager’s clients to facilitate portfolio reviews and new business discussions. Includes working in Outlook to send meeting requests,book conference rooms,add visitors to security,and ordering catering

  • Database maintenancein Salesforceincluding maintaining contact information and meeting activity for clients and prospects

  • Meeting preparation including gathering and distributingmaterials

  • Travel coordinationwith our travel agency including transportation andhotelbookings

  • Assistance with a variety of department and team projects

  • Expense reimbursementin Workday

  • Diligent coverage ofemail

QUALIFICATIONS

  • Undergraduate degree

  • Minimum of 3 - 5 years of relevant administrative experience

  • Strong interpersonal, verbal, and written communication skills

  • Strong service orientation; reliable, consistent, proactive

  • Abilityto workin a fast-paced and team-oriented environment, prioritizingeffectively

The base salary range for this position is:

USD 60,000 - 110,000

This range takes into account the wide range of factors that are considered when making compensation decisions, including but not limited to skill sets; role; skills and experience; certifications; and education. This range is an estimate, and further details on salary and total compensation aspects will be shared with candidates during the recruitment process.

Base salaryis only one component of Wellington’s total compensation approach. Other rewards may include a discretionary Corporate Bonus and/ or Incentives, if eligible.
