Full Job Description
Your Role

As Executive Assistant to the CEO, you will be responsible for creating the time, space, and focus required for the CEO to operate at maximum effectiveness.

This role is far more than calendar management. You will serve as a trusted partner who anticipates needs, removes friction, manages competing priorities, and ensures the CEO is spending time on the highest-value activities.

You will operate at the center of a fast-moving organization, coordinating across leadership, investors, customers, candidates, and external stakeholders. Success in this role requires exceptional organization, discretion, judgment, and attention to detail.

You thrive in dynamic environments, enjoy solving problems before they become problems, and take pride in creating order from complexity.

What You'll Do
  • Own and manage the CEO's calendar, ensuring time is allocated effectively against company priorities
  • Coordinate internal and external meetings, including leadership meetings, customer meetings, investor meetings, and board-related activities
  • Manage complex travel planning, logistics, and itineraries
  • Act as a gatekeeper and facilitator, helping prioritize inbound requests and communications
  • Prepare meeting agendas, briefing materials, notes, and follow-up actions
  • Track action items and ensure important commitments are executed on time
  • Coordinate leadership offsites, team events, and executive meetings
  • Build and maintain systems that improve organization, communication, and operational efficiency
  • Manage sensitive and confidential information with absolute discretion
  • Serve as a trusted operational partner to the CEO and leadership team
  • Leverage AI and automation tools to improve productivity, organization, and workflow management


Who You Are
  • 5+ years supporting founders, CEOs, executives, or senior leadership teams
  • Exceptional organizational and project management skills
  • Outstanding written and verbal communication abilities
  • Strong judgment and ability to prioritize effectively in fast-moving environments
  • Experience managing complex calendars, travel, and executive communications
  • Ability to operate independently with minimal oversight
  • High level of professionalism, discretion, and trustworthiness
  • Strong attention to detail and follow-through
  • Comfortable navigating ambiguity and shifting priorities
  • Demonstrated ability to leverage technology, AI, and automation tools to improve productivity


Bonus if you have
  • Experience supporting founders or executives at venture-backed startups
  • Experience in cybersecurity, AI, SaaS, developer tools, or technology companies
  • Experience coordinating board meetings and investor communications
  • Exposure to international travel coordination and global business operations
  • Experience working in remote-first organizations
  • Familiarity with tools such as Notion, Google Workspace, Slack, ChatGPT, and other AI productivity platforms
  • Located on the East Coast (preferably in New York City), with the ability to start work early in the day to cover EMEA timezones.
