Early-stage AI and robotics startup is looking for an Executive Assistant to support their three Co-Founders, with primary focus on the CEO. This is an exciting opportunity to be the first dedicated EA at a company emerging from stealth, supporting a CEO who previously led research at one of the most influential AI labs in the world. In this role, you'll own the CEO's inbox and calendar, protect and prioritize a packed schedule, coordinate travel across all three founders, draft communications on the CEO's behalf, and take ownership of the internal rhythms that keep a fast-scaling, two-office team running. Someone who is proactive, exercises strong judgment about what actually matters most, and can build a real partnership with executives who each work very differently. Previous experience supporting a founder or C-suite executive is required. This role is open to either San Francisco or New York, in office 5 days/week. 140-180K DOE + equity, 100% covered health and dental for employees and dependents, 401K, unlimited PTO, and daily lunch.
Responsibilities:- Own inbox management for the CEO, triaging incoming requests, surfacing what needs attention, and drafting responses on his behalf.
- Own and protect the CEO's calendar, making judgment calls on competing priorities, building in proactive blocks, and safeguarding focus time and personal commitments.
- Run a standing weekly planning session with the CEO to review the week ahead, triage priorities, and align on what matters most.
- Coordinate travel for all three founders, including customer on-site visits and frequent travel between our two offices.
- Manage scheduling across multiple internal stakeholders, resolving conflicts and finding time where calendars are tightly booked.
- Own internal team rhythms and recurring meetings, including all-hands and company-wide invites.
- Proactively schedule and coordinate monthly executive team offsites, and support quarterly company-wide offsites.
- Partner with the Head of Operations and Office Manager on events, travel logistics, and cross-office coordination.
- Help founders who have not previously worked with an EA identify what to hand off, and build the habits and systems that make that partnership work.
- Track follow-ups and open items across the founding team so nothing falls through the cracks.
Qualifications:- Previous 3+ years of experience supporting a founder, CEO, or C-suite executive in a fast-paced environment, ideally at a high-growth startup or venture capital firm.
- Exceptional organizational skills and attention to detail.
- Proactive and solutions-oriented with an instinct to anticipate needs rather than wait for direction.
- Strong strategic calendaring skills with the ability to assess priorities, read energy, and make judgment calls on scheduling without being asked.
- Excellent written communication skills, with the ability to draft on an executive's behalf and match their voice.
- Excellent verbal communication skills, with the ability to interact with stakeholders at all levels.
- Strong interpersonal instincts and the ability to adapt to executives with very different working and communication styles.
- Thrives in ambiguous environments where the playbook is still being written and is excited to bring new ideas on how to work together.
- Systems-oriented and able to introduce practical structure, workflows, and improvements while remaining flexible and efficient.
- Comfortable working across time zones and supporting stakeholders in more than one office.
- Proficient with workplace and productivity tools such as Google Workspace, Slack, Notion, expense-management platforms, calendaring systems, and related operational software; familiarity with AI tools is a plus.
- Genuine excitement about the mission and the industry; direct industry experience is not required.
