DESCRIPTION

The Executive Assistant provides comprehensive administrative and operational support to the UC San Diego Health Chief Human Resources Officer (CHRO). This role serves as the primary point of coordination for the CHRO's office, managing complex scheduling, meeting logistics, communications, and travel arrangements. The Executive Assistant interfaces with a wide range of internal teams and external partners, requiring flexibility and a high level of independence and initiative.

Working in a fast-paced and highly confidential environment, the Executive Assistant handles a wide range of administrative activities requiring professionalism, discretion, sound judgment, and strong organizational skills. The position coordinates leadership meetings, prepares correspondence, reports, presentations, and meeting materials, and facilitates communication across HR and organizational stakeholders. The successful candidate will be a resourceful problem solver who thrives in a collaborative environment and consistently demonstrates a high level of confidentiality, customer service, and professionalism.

MINIMUM QUALIFICATIONS
  • Nine years of related experience, education/training, OR a Bachelor's degree in related area plus five years of related experience/training. Relevant experience must include providing administrative support to an Executive.
  • Demonstrated experience organizing calendars and providing related administrative support to an executive in a large organization. Experience must include preparing complex and confidential presentations.
  • Experience researching, compiling and summarizing complex and / or highly sensitive issues, policies and topics.
  • Advanced knowledge of the organization's processes, protocols and procedures.
  • Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.
  • Strong skills to communicate and influence effectively with all levels of staff, faculty, alumni / donors, students and external constituents, both verbally and in writing.
PREFERRED QUALIFICATIONS
  • Experience working within or supporting a human resources department and related HR functions.

Pay Transparency Act

Annual Full Pay Range: $81,600 - $147,800 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $39.08 - $70.79

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
