The Fulfillment Technologies and Robotics (FTR) organization seeks a strategic, exceptionally driven, fast-moving, resourceful, proactive Executive Assistant to support three directors in our RDPI team. You will be located in North Reading, MA.
This Executive Assistant will be responsible for handling confidential information and maintaining professionalism in dealing with senior executives. Role responsibilities include managing multiple complex calendars, planning and organizing events of all sizes, coordinating workspace planning, and coordinating domestic and international travel. This candidate will help build a positive team environment and establish working relationships inside and outside of the group.
Key job responsibilities
• Manage complex calendars, prioritize meetings, including organizing sessions with internal and external senior leaders
• Proactively anticipate leader and organizational needs, identifying and resolving issues without being prompted
• Organize, execute, and assist with team activities (staff meeting agendas, global team meetings, off-sites, and team social events)
• Prepare, curate, and create content (presentations, narratives, communications) on behalf of leaders in partnership with key stakeholders
• Complete expense reports proactively
• Coordinate both domestic and international travel
• Track and ensure the completion of key deliverables, and follow up on outstanding items
• Act as a liaison between the team and key stakeholders through clear and concise written and verbal communication
• Handle confidential materials and information with discretion
• Develop and maintain new mechanisms to maximize team efficiency; optimize cross-team procedures and drive best practices across the organization
• Independently resolve escalations, seeking guidance as needed
• Partner closely and proactively with Finance, HR, Recruiting, and EAs throughout the organization
• Mentor and develop other EAs within the organization
• Leverage AI tools (e.g., automation, scheduling assistants, data synthesis) to streamline workflows, increase efficiency, and proactively solve problems across administrative and operational tasks
• Use AI to synthesize data, identify trends, and surface insights that enable strategic partnership with leadership, shifting focus from administrative tasks to driving organizational priorities and decision-making

A day in the life
As an Executive Assistant, you will work in a team environment, build effective working relationships inside and outside of the group, while keeping abreast of general business objectives, policies, standards, services, facilities, procedures, and related information in order to maintain a comprehensive awareness of the organization. You will thrive in a fast-paced and growing environment and have exceptional attention to detail.
You will be responsible for a wide range of critical activities including complex calendar management, managing travel and expenses, organizing team activities and events. Other responsibilities include, but are not limited to, space planning and ad hoc project coordination. You will exercise high judgment and make decisions independently in a highly ambiguous environment, demonstrating initiative, completing tasks and projects quickly, and proactively taking action without the total picture. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the organization is essential.
You will learn organizational structures and objectives of the teams you support. Solid written and verbal communication skills combined with confidence in business settings will be key in finding success in this role. The right candidate will have a strong sense of ownership, bias for action, and be able to work accurately when under pressure to meet tight deadlines.
You will leverage AI tools to streamline workflows and enable strategic partnership with leadership, shifting focus beyond administrative tasks to driving organizational priorities and decision-making.

Robotics Delivery Packaging Innovation (RDPI) objectives are to transform Amazon's fulfillment network from manual, plastics-based packaging to highly automated, paper-based solutions through engineering innovation in hardware, software, and materials science. We design, build, and deploy Amazon-owned products that improve customer experience while reducing cost to serve. We operate packaging automation, robotic labeling, and sortation solutions across 213 unique sites globally.
BASIC QUALIFICATIONS
- 5+ years of senior level leadership support, or 3+ years of Amazon experience
- High school or equivalent diploma
- Experience with Microsoft Office products and applications
- Experience with executive level calendar management
- Experience as an Executive Assistant
- Experience with work space planning/management
- Experience using AI tools to improve productivity and workflows
PREFERRED QUALIFICATIONS
- Experience leading process improvements
- Experience designing processes to maximize efficiency
- Experience handling administrative details independently, while exercising good judgment in keeping team members adequately informed
- Experience working with large global teams
- Experience guiding, training and mentoring others
- Experience with domestic or international travel coordination
The base salary range for this position is listed below. Your Amazon package will include sign-on payments and restricted stock units (RSUs). Final compensation will be determined based on factors including experience, qualifications, and location.
