Overview

The Executive Assistant serves as a vital partner to leaders of the Client Medical Director and Medical Policy Director team, providing administrative support, ensuring efficient operations, and representing with professionalism and discretion. The ideal candidate excels in fast-paced environments, demonstrates exceptional organizational, communication and collaboration skills, discretion, and proactive problem solving. Duties include project support, analysis, research, correspondence, and meeting and travel coordination (some travel will be required).

Responsibilities
  • Calendar & Meeting Management: Coordinate and manage complex calendars, schedule meetings across multiple time zones internally and externally with partners and clients and proactively resolve conflicts or overlaps.
  • Organize departmental meetings (virtual and onsite): Helps to source offsite locations, prepares agendas and materials, ensure all logistics are managed. Candidates should expect to travel for onsite department meetings, approximately 4 days, twice yearly.
  • Travel & Expense Coordination: Arrange domestic travel, including flights, accommodations, and ground transportation where needed. Prepare detailed itineraries and manage expense reporting, ensuring compliance with company policies and timely reimbursement.
  • Office & Project Support: Provide administrative support for projects, coordinate with cross-functional teams, and assist in preparing presentations, reports, and documentation.
  • Collaboration across the organization: Coordination of meetings, calendars and data requests
  • Meeting Follow-Through: Take minutes and notes during meetings and track action items through to completion.
  • Onboarding Support: Assist with new hire setup and coordinate onboarding logistics for team members.
  • Budget & Invoice Tracking: Track departmental budget lines and process invoices and purchase orders, beyond standard expense reporting.
  • Event Planning: Coordinate team offsites and recognition or milestone celebrations.
  • Confidentiality & Discretion: Handle HR-related and strategic information with a high degree of discretion and sound judgment.
  • Performs other functions as assigned.
  • Complete all responsibilities as outlined in the annual performance review and/or goal setting.
  • Complete all special projects and other duties as assigned.

Qualifications
  • 7+ years of proven experience as an administrator.

Base compensation ranges from $72,000 to $97,000 per year. Specific offers are determined by various factors, such as experience, education, skills, certifications, and other business needs.
