Executive Assistant – CFO & Board Support
About the Role
We are seeking a highly organized, detail oriented, and proactive Executive Assistant to support our Chief Financial Officer (CFO) and General Counsel in Arlington, VA. This role requires a strategic thinker who can operate effectively in a highly structured, fast paced environment and manage competing priorities across finance and legal functions
In this critical position, you will serve as a trusted partner to both executives, enabling efficient execution of financial, legal, and governance priorities. The ideal candidate brings strong business acumen, exceptional judgment, and the ability to manage sensitive information with the highest level of discretion
Key Responsibilities
- Strategic Support: Serve as a trusted partner to the CFO and General Counsel by managing priorities, anticipating needs, and ensuring alignment across finance and legal initiatives
- Calendar and Meeting Management: Manage complex and highly structured calendars, ensuring alignment with recurring financial cycles, legal deadlines, executive meetings, and board related activities including ownership of logistics, expenses, documentation, and preparation and submission of expense reports with precision
- Strategic Travel and Logistics Management: Lead highly complex executive travel and logistics planning for the CFO and General Counsel, coordinating multi-stop domestic and international itineraries, board engagements, investor meetings, legal proceedings, and key business events. Proactively manage travel risks, navigate schedule changes, and ensure all arrangements are executed flawlessly while maintaining alignment with executive priorities and organizational objectives.
- Board and Governance Support: Coordinate board meetings, committee meetings, and governance activities, including scheduling and preparation of materials in partnership with leadership and key stakeholders
- Financial and Legal Operations Coordination: Support the rhythm of finance and legal operations, including earnings preparation, reporting timelines, regulatory filings, audits, and contract workflows
- Executive Communications and Documentation: Draft, review, and manage sensitive communications, presentations, and documentation with a high degree of accuracy and confidentiality
- Cross Functional Coordination: Partner closely with finance, legal, and executive leadership teams to ensure alignment, information flow, and timely execution of key deliverables
- Decision Support and Prioritization: Provide real time support by tracking deliverables, managing deadlines, and proactively identifying risks or scheduling conflicts
- Confidentiality and Discretion: Handle highly sensitive financial, legal, and corporate information with the utmost professionalism and sound judgment
Basic Qualifications
- Bachelor’s degree in Business Administration, Finance, Legal Studies, or a related field; equivalent experience accepted in lieu of degree
- 5+ years of experience supporting C Suite executives, preferably within finance, legal, or corporate governance environments
- Proven experience managing complex calendars, executive logistics, and high priority deliverables across multiple stakeholders
- Strong understanding of corporate environments with exposure to financial processes or legal operations
- Exceptional organizational skills and attention to detail with the ability to manage multiple priorities and deadlines
- Excellent written and verbal communication skills
- High emotional intelligence and ability to work effectively with senior leaders and cross functional teams
- Proven ability to handle highly confidential and sensitive information with discretion
- Proactive, resourceful, and solutions oriented with the ability to work independently
Preferred Qualifications
- Experience supporting CFOs, General Counsel, or public company executives
- Experience with board governance and coordination of board or committee meetings
- Familiarity with financial reporting cycles, earnings processes, or regulatory filings
- Exposure to legal operations, contracts, or compliance functions
- Experience working in a highly regulated or publicly traded company
- Experience with tools such as SAP, Oracle, Workday, SharePoint, or similar enterprise systems
- Experience coordinating executive level events, leadership offsites, or board meetings
