Job Summary

The Event Planner is responsible for planning and executing high-quality corporate meetings, events, and experiences that support business objectives and deliver exceptional attendee experiences. This role independently leads small- to mid-sized programs while serving as a key workstream owner for large-scale, high-visibility events. The Event Planner partners closely with executive sponsors, business leaders, and cross-functional stakeholders to manage event deliverables from concept through completion.

This position requires strong project management capabilities, exceptional organizational skills, executive presence, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate combines operational excellence with strategic thinking to drive successful event outcomes, identify opportunities for improvement, and enhance the attendee experience.

Key Responsibilities

Event Leadership & Program Management
  • Lead the planning and execution of 3-4 corporate meetings and events annually, ranging from 25 to 350 attendees.
  • Manage all phases of assigned events, including project planning, logistics, attendee experience, communications, onsite execution, and post-event evaluation.
  • Independently oversee event budgets of up to $500,000, ensuring sound financial stewardship and adherence to established budget parameters.
  • Anticipate risks, resolve issues proactively, and implement contingency plans to support successful event execution.


Flagship Event Support
  • Serve as a lead workstream owner for large-scale enterprise events, including sales meetings, leadership meetings, recognition programs, and executive experiences.
  • Drive assigned deliverables from planning through execution while ensuring alignment with overall event objectives, timelines, and stakeholder expectations.
  • Collaborate with event leads and business partners to ensure seamless integration across event workstreams.


Executive Stakeholder Partnership
  • Partner directly with executive sponsors and executive assistants to support leadership-focused programs and experiences.
  • Provide professional consultation and recommendations while maintaining a high level of responsiveness, discretion, and attention to detail.
  • Effectively manage executive expectations and communicate project status, risks, and key decisions.


Cross-Functional Leadership
  • Lead project teams and coordinate efforts across marketing, communications, sales, procurement, finance, legal, operations, and other business functions.
  • Influence stakeholders and drive accountability without formal reporting authority.
  • Facilitate productive planning meetings and ensure timely completion of project deliverables.


Vendor & Supplier Management
  • Manage assigned vendor relationships, including hotels, venues, production partners, transportation providers, and other event suppliers.
  • Execute sourcing and procurement strategies established by senior event leaders.
  • Monitor supplier performance and ensure contracted services are delivered as expected.


Measurement & Continuous Improvement
  • Analyze event metrics, attendee feedback, and business outcomes to evaluate program effectiveness.
  • Develop recommendations that improve future event experiences, operational efficiency, and stakeholder satisfaction.
  • Identify opportunities to standardize processes and implement best practices across the events portfolio.


Minimum Qualifications
  • Bachelor's degree or equivalent experience.
  • 5-7 years of experience in corporate event planning, meetings management, hospitality, experiential marketing, or related field.
  • Experience independently planning and executing complex meetings and events.
  • Demonstrated experience supporting executive-level stakeholders and leadership programs.
  • Proven ability to manage multiple projects simultaneously while meeting deadlines and budget objectives.
  • Experience managing event budgets and coordinating external suppliers and partners.
  • Ability to travel up to 20% (approximately 6-10 trips annually).


Preferred Qualifications
  • Certified Meeting Professional (CMP) designation.
  • Experience supporting sales meetings, leadership meetings, incentive programs, or executive events.
  • Experience with Cvent or other event management technology platforms.
  • Experience utilizing event mobile applications and attendee engagement tools.
  • Experience with project management software and project planning methodologies.
  • Healthcare industry or Fortune 500 experience preferred.
