Overview

BNY is seeking a highly organized, detail-oriented professional to join the team as an ETF Basket Administrator. This role is responsible for supporting the daily oversight, validation, and timely dissemination of ETF baskets, while helping to maintain a controlled and efficient operating environment across basket-related workflows.

The position plays a critical role in the day-to-day management of basket operations, including monitoring basket production timelines, reviewing setup and reference data, investigating exceptions, supporting fund launches, and coordinating with internal partners to resolve operational issues. The successful candidate will be expected to operate effectively in a deadline-driven environment, provide clear updates on open items and risks, and contribute to ongoing process improvements that strengthen operational quality and service delivery.

This is a hands-on operational role that requires strong ETF product knowledge, attention to detail, ownership of time-sensitive workflows, and the ability to work across multiple teams and systems to support accurate basket processing.
Key Responsibilities
  • Support the daily ETF basket production cycle, including review, validation, and timely release of baskets in line with market and operational deadlines.
  • Monitor basket workflows to ensure required setup, data inputs, and dependencies are in place for successful basket creation and dissemination.
  • Validate basket content and related data for completeness, accuracy, and consistency across operational platforms and downstream delivery channels.
  • Investigate and resolve basket exceptions, stale data items, missing setup attributes, identifier issues, and other breaks impacting daily processing.
  • Maintain and review key reference data used in basket administration, including fund setup details, security identifiers, and other operational attributes required for accurate basket support.
  • Partner with internal stakeholders across fund servicing, operations, technology, product, and service teams to escalate and resolve production issues and processing delays.
  • Support new ETF launches by reviewing operational readiness, validating setup requirements, confirming data availability, and ensuring basket support processes are established ahead of launch.
  • Assist with ongoing product maintenance and operational event support, including impacts from distributions, corporate actions, and fund changes that affect basket composition or release timing.
  • Track open issues and recurring themes, provide updates in daily team forums, and maintain clear documentation of action items, ownership, and expected resolution timelines.
  • Participate in incident follow-up and root cause discussions related to basket processing, helping to identify control gaps and opportunities for remediation.
  • Contribute to process improvement efforts focused on reducing manual intervention, enhancing controls, improving exception visibility, and increasing workflow efficiency.
  • Ensure adherence to established procedures, service expectations, escalation protocols, and risk and control standards.
Qualifications
Required
  • Bachelors degree in accounting or the equivalent combination of education and experience is required.
  • 3-5 years of total work experience preferred.
  • Big 4 accounting firm experience preferred.
  • Experience in ETF operations, fund servicing, securities operations, asset servicing, or a related investment operations environment.
  • Working knowledge of ETF baskets, creation/redemption workflows, and primary market operational processes.
  • Ability to manage time-sensitive responsibilities in a high-volume, deadline-driven environment.
  • Strong analytical and problem-solving skills, with the ability to investigate issues, assess impact, and drive resolution.
  • Strong attention to detail and ability to work accurately across multiple systems, reports, and operational data sources.
  • Effective written and verbal communication skills, including the ability to provide concise and meaningful updates to internal stakeholders.
  • Advanced proficiency in Excel and comfort working with operational files, templates, trackers, and reporting tools.
  • Strong organizational skills and ability to manage multiple priorities simultaneously.
Preferred
  • Direct experience with ETF basket administration, basket dissemination, or operational support for basket-related workflows.
  • Familiarity with fund setup processes, security master/reference data, and identifier maintenance.
  • Knowledge of distribution events, corporate actions, and NAV-related operational impacts affecting ETF processing.
  • Experience supporting new fund launches or product onboarding activities within an ETF or fund operations environment.
  • Exposure to incident management, issue tracking, service delivery reporting, and control enhancement initiatives.
  • Experience working with cross-functional partners to implement workflow improvements or operational process changes.

Base salary offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. Base salary is only part of the total rewards package, which may include eligibility for an annual discretionary incentive award.
