Full Job Description
The Role

We're looking for an exceptional Executive Assistant & Office Manager to serve as a trusted partner to our CEO and the heartbeat of our Denver headquarters.

This is a highly visible, high-impact role - one that sits at the intersection of executive partnership and workplace operations. You'll own two things that matter deeply to how we run: making sure the CEO's time, communications, and priorities are protected and moving, and making sure our Denver office is a place people are genuinely excited to show up to.

There's no "typical day" in this role, and that's the point. You'll operate with sound judgment, move fast without losing precision, and build systems that make everyone around you more effective. This role is full-tine, in-person, 5-days/week at our Denver headquarters.

What You'll Do

Executive Partnership & CEO Support

  • Own and manage the CEO's complex, dynamic calendar - adapting quickly to shifting priorities and last-minute changes
  • Manage the CEO's inbox: triage inbound, draft responses, flag what needs visibility, and ensure follow-through
  • Act as a trusted gatekeeper across all communication channels - exercising strong judgment on what rises to CEO level vs. what you handle independently
  • Manage select special projects and cross-functional initiatives on behalf of the CEO, ensuring alignment and timely execution
  • Manage recurring leadership programs: action planning sessions, strategy days, offsites, and leadership meetings


Travel & Logistics

  • Plan and execute all domestic and international travel for the CEO - flights, hotels, ground transportation, itineraries, visa coordination
  • Coordinate travel for Leadership Team members and broader team travel as needed
  • Manage complex, multi-leg itineraries with an eye on time efficiency and cost
  • Troubleshoot real-time disruptions calmly and decisively


Office Operations & Workplace Management

  • Oversee day-to-day Denver office operations - keeping things running smoothly, efficiently, and on-brand
  • Maintain office systems, supplies, and vendor relationships to support team productivity
  • Support onboarding logistics for new hires - workspace setup, office orientation, first-day experience


Team Experience & Events

  • Coordinate weekly team lunches (including Tuesday team lunches) and in-office engagement initiatives
  • Plan and execute special events - leadership team dinners, executive offsites, holiday celebrations, hackathons, and company-wide initiatives
  • Foster a welcoming, inclusive, high-energy office culture that reflects who Havenly is


Operational Excellence & Technology

  • Build and refine systems that improve executive operations, communication flow, and office coordination
  • Identify inefficiencies and implement scalable solutions before anyone has to ask
  • Actively integrate AI tools into daily workflows - not as a gimmick, but as a genuine productivity multiplier

What You Bring

  • 3+ years of experience supporting a senior executive - ideally a CEO or C-suite leader - with office management responsibilities woven in
  • Experience in a high-growth, consumer-facing, or startup environment strongly preferred

  • This is a full-time exempt position headquartered in Denver, CO
  • Targeted compensation range is $75,000 - $95,000/year dependent upon experience
