The Document Control Manager is responsible for overseeing document management systems and processes. This position tracks, files, updates, and destroys documents as appropriate using a database and/or filing system to manage confidential business and client documents.
Essential Functions - Responsible for the development, implementation, and maintenance of document control systems
- Manages document control processes, systems, and procedures. Ensures all documents are properly identified, reviewed, and approved. Analyzes and resolves document control issues.
- Ensures documents are accurately documented and stored in a secure and organized system
- Maintains document control database and archives
- Provides guidance and support to the team on document control issues
- Manages the distribution of documents, and ensures they are up to date and available to appropriate personnel
- Assists in the development of document control policies and procedures
- Maintains audit records of document control activities
- Develops and maintains document control procedures and related systems
- Trains personnel on document control systems and procedures
Qualifications - Bachelor's degree in a relevant field preferred
- Minimum of five (5) years of experience in document control or closely related field
- Experience managing a document management system, including document numbering, processing, distribution, and archiving
- Strong understanding of regulatory, legal, and quality requirements related to document control
- Excellent organizational and time management skills
- Ability to collaborate effectively with cross-functional teams
- Excellent written and verbal communication skills
- Attention to detail and ability to analyze and interpret data
- Proficient in standard computer software use such as Microsoft Office and document management systems
