Full Job Description
The Document Control Coordinator serves as the Owner's Representative responsible for supporting project execution through document management, action-item tracking, reporting, presentation development, and technical documentation. This role acts as a key resource to construction and project management teams by driving accountability, maintaining organized project records, facilitating communication, and improving project processes. The ideal candidate is a highly organized, self-sufficient professional who can operate as a multi-functional team member by combining document control, technical writing, presentation support, and project coordination responsibilities to help ensure successful project delivery - Shippingport, PA

Minimum Qualifications:
  • Associate's or Bachelor's degree preferred in Construction Management, Business, Communications, Engineering, or a related field
  • 2-5+ years of experience in document control, project coordination, construction administration, or project support
  • Experience supporting construction, data center, mission-critical, industrial, or capital projects preferred
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams
  • Experience preparing reports, presentations, meeting minutes, and project documentation
  • Strong organizational skills with the ability to manage multiple tasks and deadlines
  • Strong written communication and technical writing skills
  • Experience with SharePoint, Procore, Autodesk Construction Cloud, or similar document management platforms preferred
  • Ability to work independently, drive action items to completion, and proactively identify process improvements
  • Strong attention to detail and commitment to document quality and accuracy


Duties and Responsibilities:
  • Manage and maintain project documentation throughout the construction lifecycle, ensuring accuracy, organization, accessibility, and compliance with client document control standards.
  • Drive completion of project tasks, deliverables, and action items assigned by project team members, proactively following up with stakeholders and tracking progress through closure.
  • Coordinate and document project meetings, including preparation of agendas, capture of meeting minutes, maintenance of action logs, and timely distribution of meeting documentation to stakeholders.
  • Maintain action-item trackers and project planning tools, ensuring accountability, visibility, and timely resolution of open items.
  • Support construction operations teams by coordinating weekly and monthly reporting requirements, validating information quality, and driving timely submission of required deliverables.
  • Identify opportunities to improve document management processes, including naming conventions, file structures, document workflows, and ease of access across project teams.
  • Develop and implement process improvements that increase efficiency, consistency, and transparency across project documentation and reporting functions.
  • Prepare, edit, and format project reports, executive summaries, presentations, dashboards, and other project communications for leadership and stakeholder review.
  • Support technical writing efforts by developing project procedures, process documentation, meeting summaries, training materials, and other construction-related documentation.
  • Review document nomenclature and ensure consistency with project and client document control standards.
  • Facilitate internal coordination for document reviews, submittals, RFIs, safety documentation, turnover packages, and project closeout deliverables.
  • Support management of project workflows including submittal processing, RFI tracking, deliverable tracking, and permit status reporting.
  • Work within existing project systems to standardize deliverable tracking, reporting practices, and documentation procedures.
  • Train project personnel on document control procedures, file management requirements, and best practices.
  • Assist in administering project closeout procedures and assembling turnover documentation packages.
  • Track and report documentation progress from project initiation through construction completion and turnover.
  • Support internal and external project closeout tracking activities and maintain accurate records of project documentation status.
  • Assist in tracking campus and site permits and coordinating related documentation requirements.
  • Participate in the client safety program by conducting and reporting on HRA site walks in coordination with site leadership.
  • Demonstrate initiative by identifying gaps, inefficiencies, or process challenges within the project team and proactively developing solutions to improve project execution and team effectiveness.
