Full Job Description
DME Manager

The DME Program Manager owns the day-to-day performance and strategic direction of OrthoArizona's durable medical equipment (DME) program, with primary responsibility for managing the relationship with an outsourced, full-service DME vendor. This vendor handles ordering, inventory, fulfillment, dispensing support, billing, and collections, and the Program Manager serves as the single point of accountability connecting that vendor to OrthoArizona's clinical operations and revenue cycle.

As a DME Supervisor with OrthoArizona, you will get to:
  • Serve as the primary relationship owner and escalation point for the external full-service DME vendor across all lines of service (ordering, inventory, dispensing, billing, and collections).
  • Manage the vendor contract and statement of work: track deliverables, service-level agreements (SLAs), pricing, and renewal timelines, and coordinate with legal, procurement, and finance on amendments.
  • Establish and run a recurring governance cadence (weekly operational check-ins, monthly business reviews, quarterly strategic reviews) with clear agendas, action items, and accountability.
  • Define, monitor, and enforce vendor KPIs and SLAs, including fulfillment turnaround, dispensing accuracy, claim submission timeliness, denial rates, collection rates, and patient responsiveness.
  • Reconcile vendor invoices, fees, and revenue-share or management arrangements against actual performance and contractual terms.
  • Ensure the DME program complies with Medicare/Medicaid, commercial payer, and accreditation requirements, including documentation, Advance Beneficiary Notices (ABNs), and supplier standards.
  • Drive adoption of new tools and processes through training, documentation, and ongoing support, measuring uptake and addressing resistance.
  • Coordinate cross-functional projects among clinical staff, operations, IT, compliance, and the vendor, keeping scope, timeline, and risks on track.
  • Responsible for DME inventory control and dispensing.
  • Responsible for maintaining supply and stock of casting and splinting material.
  • Oversee maintenance upkeep of equipment (Cast saw, ultrasound machine etc.).
  • Ensure proper documentation at time of dispensing DME including but not limited to; ABN forms and proof of delivery.
  • Remain current and up to date on all aspects of DME inventory management.
  • Educate and train appropriate staff with DME dispensing procedures.
  • Properly track and route all orders.
  • Ensure prior authorization is obtained for DME items.
  • All other duties assigned.


Qualifications:
  • Bachelor's degree in healthcare administration, business, finance, or a related field - or equivalent combination of education and experience.
  • 5+ years of experience in healthcare operations, revenue cycle, or program/project management, including direct experience managing external vendors or third-party service providers.
  • Working knowledge of DME operations, medical billing, coding, and payer reimbursement (Medicare, Medicaid, and commercial).
  • Demonstrated success leading cross-functional projects and change initiatives in a healthcare setting.
  • Strong analytical skills with the ability to build and interpret operational and financial reporting (advanced Excel; comfort with dashboards/BI tools).
  • High School Diploma or GED.
  • Excellent communication, negotiation, and relationship-management skills across clinical and administrative audiences.


Preferred Qualifications:

  • Experience in an orthopedic, multi-specialty, or ambulatory group practice environment.
  • Direct experience with DME bracing, orthotics, and supplier accreditation standards.
  • Familiarity with EHR/practice-management systems and revenue cycle platforms.
  • Project management or process-improvement certification (PMP, Lean, Six Sigma) or change-management credential (e.g., Prosci).
