DescriptionGeneral Description: The Director, Nursing and Health Sciences, works independently in performing advanced administrative duties pursuant to the goals and operational needs of Nursing and Health Sciences. This position coordinates efforts among the department staff, administrators, College staff, students, and the community to ensure effective operation of Nursing and Health Sciences. Work is typically performed under the general administrative supervision of the Dean, Nursing, Science, Arts, and Hospitality (NASH), or Nursing Program Administrator (when the Dean is not a Nurse).
Examples of DutiesEssential Job Duties:- Assists with advising students in the following areas: Nursing, Health Sciences, and Emergency Medical Services.
- Assists with orientation and information sessions, "mail-outs," and website maintenance.
- Assists with the registration and organization of schedules for all Nursing students.
- Coordinates Nursing and Health Sciences events and ceremonies, including but not limited to orientation, pre-pinning ceremony, graduation, and promotional activities.
- Ensures course schedules are accurate and works with the Dean/Administrator to make changes as needed.
- Maintains and submits course book list each semester.
- Verifies all Simple Syllabi are submitted and approved on time for each semester.
- Retrieves data from College programs for reports. Conducts statistical comparisons of information retrieved.
- Prepares reports, manuals, and documents in compliance with regulatory and accreditation agencies.
- Prepares workload documents for payment of full-time, part-time, and adjunct faculty and contracted professionals. Submits payroll timesheets as scheduled.
- Prepares and maintains requisitions and leave/travel forms, schedules conferences and workshops for all Nursing and Health Sciences faculty.
- Composes and produces letters, forms, reports, calendars, manuals, booklets, flyers, and related materials as appropriate and assigned using word-processing software, spreadsheets, and graphics.
- Serves as recording secretary at meetings. Prepares minutes in a final form for distribution.
- Prepares spreadsheets, analyzes and recommends student candidate acceptance based on application criteria, and coordinates record keeping of pre-acceptance and post-acceptance student files.
- Assists in the planning and monitoring of accounting functions of grant-funded projects.
- Responsible for updating the departmental websites for the Nursing and Health Sciences division.
- Prepares Nursing and Health Sciences correspondence under the direction of the Dean or Administrator.
- Reviews and coordinates the Dean's calendar and arranges various appointments regarding Nursing and Health Sciences.
- Initially meets with the public, faculty, staff, and students. Handles all incoming calls, emails, and memoranda. Seeks additional information and advises the Dean or Administrator.
- Follows up with students who have a request or concern, identifies the chain of command followed, and arranges meetings if further follow-up is needed.
- Participates in and supports efforts, activities, and responsibilities regarding accreditation and reaffirmation (including ACEN accreditation).
- Provides assistance to other program areas as directed.
- Establishes and maintains Nursing and Health Sciences student files.
- Performs office management functions and coordination, secures details of specialized information, and provides information regarding services and operation of the unit. Maintains office supplies.
- Helps develop annual department budgets, establishes and updates lab fees, monitors budgetary process and progress, and coordinates with the Dean or Administrator for review and approval.
- Maintains record keeping of Health Professions documents required for program renewal and/or accreditation.
- Works with the Dean or Administrator and departmental faculty to prepare and update Unit Plans, Program Learning Outcome Assessments, and Departmental Program reviews.
- Coordinates with faculty, Operations Specialist, Nursing Simulation, to ensure departmental lab areas have necessary lab equipment, materials, supplies and are well maintained and ready for use.
- In coordination with Dean or Administrator and TADA, leads the recruitment, onboarding, orientation, and support of Allied Health faculty in Workforce Development and Continuing Education programming such as Medical Assisting, Phlebotomy, and similar programs.
- In coordination with College Recruitment, Marketing, and Workforce Development/Continuing Education offices, leads the recruitment, onboarding, and support of students in Workforce Development and Continuing Education programming.
- Coordinates clinical schedules for students in Workforce Development and Continuing Education programming, helping to ensure sufficient clinical time for students to earn their respective healthcare industry certifications.
- Assist in College recruitment and retention efforts, as appropriate.
- Required to attend Graduation/Commencement ceremonies.

QualificationsKnowledge, Abilities, and Skills:- Knowledge of business English, spelling, and punctuation, to prepare documents, letters, etc.
- Computer literate with advanced skills in Microsoft Office software use, including Word and Excel.
- Advanced knowledge of office practices and procedures.
- Knowledge of the College's mission, policies, procedures and practices.
- Knowledge of state Nursing and EMS standards, including record keeping.
- Ability to plan and coordinate office functions independently.
- Ability to maintain confidentiality.
- Ability to establish and maintain effective working relationships with Faculty, staff, students, and the public.
- Ability to communicate effectively using speaking, hearing and visual skills.
- Ability to complete a variety of tasks simultaneously under time constraints and stressful situations.

Education and Qualifications:- Graduation from an accredited College or University with a bachelor's degree in a related field, required
- Three (3) years progressively responsible experience in advanced administrative support work.
