Job Summary:

The Digital Solutions Systems Administrator is a data-focused role responsible for the accurate entry, maintenance, and day-to-day management of the data and workflows that power Bechtel Manufacturing & Technology's (M&T) Digital Solutions portfolio. Working within the Digital & AI Strategy / Information Systems & Technology (IS&T) function, the incumbent enters, updates, and maintains the records and workflow data that support key business processes - including HR and workforce-planning systems such as SmartStaff, as well as project-based processes - keeping them complete, consistent, current, and reliable for the business.

Major Responsibilities:

  • Data entry - Accurately enter, update, and maintain records and data within Digital Solutions applications, including data supporting HR and workforce-planning systems (e.g., SmartStaff) and project processes, meeting established accuracy and turnaround standards.
  • Data management & maintenance - Own the day-to-day upkeep of Digital Solutions data sets - adding, editing, and archiving records, maintaining reference and master data, and ensuring information remains complete, current, and correctly structured.
  • Data quality & validation - Perform routine validation, cleansing, and reconciliation of data across systems; identify and correct errors, duplicates, and inconsistencies to safeguard data integrity.
  • Workflow data upkeep - Update and maintain the data and settings that drive digital workflows (e.g., staffing and project approval routing), and monitor workflows to ensure records progress correctly.
  • Data requests & updates - Process incoming data-entry and update requests from HR, staffing, project, and functional teams; track them to completion and confirm results with requesters.
  • Data confidentiality & security - Handle sensitive HR and staffing data with discretion and manage data access in line with Bechtel privacy and information-security standards.
  • Compliance - Ensure all data-entry and data-management activities comply with applicable Bechtel policies, procedures, and quality-management (e.g., ISO) requirements.


Working Relationships:
  • Reports to: Manager, Information & Innovation (Digital Solutions), within M&T IS&T / Digital & AI Strategy.
  • Works closely with: Digital Solutions developers and analysts, HR and staffing/workforce-planning teams, project teams, and functional process owners.
  • Interfaces with: Enterprise IS&T, data-governance and information-security teams, and, where relevant, external application vendors.


Education and Experience Requirements:

  • High school diploma or equivalent, and 5 years of relevant data-entry, data-management, or information-administration experience; OR an Associate's degree and 3 years of relevant experience; OR a Bachelor's degree in Information Management, Business, or a related field and 1 year of relevant experience.
  • Demonstrated data-entry experience with a consistent record of high speed and accuracy.
  • Proficiency with Microsoft Office - particularly Excel - and experience entering and maintaining data in business applications, spreadsheets, or databases.
  • Experience maintaining, updating, and reconciling structured data sets or business records.
  • Legally authorized to work in the country of employment without company sponsorship, where applicable.


Required Knowledge and Skills:

  • Exceptional attention to detail and a demonstrated commitment to data accuracy and integrity.
  • High level of data-entry speed and accuracy, with strong keyboard and numerical skills.
  • Strong organizational skills and the ability to manage high volumes of data and multiple requests reliably.
  • Ability to follow established procedures consistently while identifying and correcting errors.
  • Clear written and verbal communication skills for confirming and clarifying data with requesters.
  • Discretion and sound judgment when handling confidential HR and staffing information.
