Rutgers, The State University of New Jersey is seeking a Department Administrator - Operations for the School of Nursing. Under the direction of the Director of Student Affairs Operations, the Department Administrator - Operations provides comprehensive administrative, operational, and project management support to ensure the effective and efficient functioning of departmental activities. The position plays a key role in facilitating services and projects that enhance the student experience while ensuring compliance, operational effectiveness, and the smooth day-to-day management of departmental operations.

Among the key duties of the position are the following:
  • Provides high-level administrative support to Directors, including managing confidential communications, coordinating projects, and facilitating operational initiatives.
  • Supports budget planning and tracking, processes invoices and purchase requests, and monitors expenditures to ensure compliance with institutional policies.
  • Coordinates daily office operations, manages calendars, monitors deadlines, and provides administrative support to contract management and registrar functions.
  • Prepares reports, correspondence, meeting materials, and other administrative documents in support of departmental operations.
  • Develops and maintains efficient workflows and procedures, and operational processes to enhance departmental effectiveness.
  • Serves as a primary point of contact for routine inquiries, assisting contract and registrar staff with email correspondence and coordinating responses to internal and external stakeholders.
  • Supports special projects, strategic initiatives, and process improvement efforts as assigned. Maintains departmental records, files, and documentation in accordance with institutional policies and confidentiality requirements.

Minimum Education and Experience
  • Bachelor's degree in Business Administration, Education, or related field, or an equivalent combination of education and experience demonstrating advanced knowledge of office administration principles and practices and a minimum of two years of administrative support experience.
