Job Overview

The Transportation Coordinator is responsible for the supervision and evaluation of the Routing, Training, Field Trips, and Dispatch offices. The Transportation Coordinator is responsible for ensuring the safe and effective transportation of students through daily oversight and management of operations and serves as liaison with school administrators, parents, and students on bus transportation matters.

Roles and Responsibilities

The following information is intended to describe the overall nature and scope of the work being performed. This is not a comprehensive listing of all responsibilities or tasks; work may differ and other work may be assigned when deemed appropriate.
  • Supervises and evaluates Area Supervisors, and employees in the Offices of Dispatch, Field Trips, Routing and Training
  • Supervises operational procedures and recommends revisions to procedures and policies
  • Reviews and approves regular and special needs routing
  • Directs employees on schedules, routes and general bus operations
  • Answers inquiries, concerns, or complaints from parents and citizens pertaining to school transportation matters
  • Investigates accidents involving school owned vehicles, completes reports, and recommends appropriate disciplinary action
  • Conducts and schedules Professional Development training for Supervisory and Administrative staff
  • Directs employees on planning and implementation of bi-annual In-Service meetings
  • Manages scheduling of employee required certifications
  • Supervises and evaluates the hiring and training of bus drivers and attendants
  • Supervises the recruitment and retention of transportation employees and coordinates with HRTD on data reported
  • Manages new and recurring office and operational emergency procedures
  • Regularly reviews, evaluates and updates standard operating procedures for Dispatch, Field Trips, Routing, and Training offices
  • Oversees the collection of student and route data needed to complete state reporting
  • Manages and evaluates daily route coverage procedures to ensure efficiency


Qualifications

Below are the minimum qualifications for this job. Equivalent combinations of education and experience are also acceptable.

Education Bachelor's Degree in business or related field

Experience Three (3) to five (5) years of progressively successful experience in pupil transportation, personnel management, and school fleet maintenance and management

Licenses and Certifications Commercial Driver's License with school bus endorsement

In the state of Virginia (VA Code Section 46.2-341.4), and specifically when referencing the commercial driver's license (CDL), an "employee" is defined as:
  • a payroll employee
  • a person employed under a lease or contract or, a person who has applied for employment and whose employment is contingent upon obtaining a CDL.


Knowledge, Skills and Abilities
  • Knowledge of budget planning, personnel management, routing procedures and applicable laws, regulations, and policies
  • Excellent communication and organization skills
  • Knowledge of general office procedures including familiarity with Microsoft Office
  • Be able to demonstrate the learned knowledge, skills, and abilities of drug and/or alcohol suspicion training when required
  • Ability to complete the DOT mandated Drug and Alcohol Suspicion Training for Supervisors within the first 90 days of employment

Essential personnel are designated employees who must report for work during a delay or emergency situations. A workplace emergency is an unforeseen situation that threatens the staff, pupils, or the public; disrupts or shuts down business operations; or causes physical or environmental damage. Emergencies may be natural or manmade. It is incumbent upon the supervisor to inform and confirm which essential personnel are required to work during emergency closings. Notification and confirmation of the expectation of essential personnel to report to work, or maintain as-needed status, will be executed with as much advanced notice as possible via in-person communication or email.
