Position Summary
Reporting to the Associate Dean, Aerospace and Aviation, the Program Coordinator is responsible for the administration and coordination of the Canadian Integrated Airline Transport Pilot License (CIATPL) program portfolio, as well as select programs within the Aviation portfolio.
The Program Coordinator supports the administration and delivery of Aviation programs by providing administrative and student support, coordinating program activities, liaising with internal and external stakeholders, and contributing to portfolio administration and enrolment growth.

Responsibilities
  • Serve as first point of contact for CIATPL students, prospective students, partners, and other stakeholders.
  • Disseminates key program information and responds to inquiries from new and returning CIATPL students on courses, semester timelines, student services, etc.
  • Maintains and shares information on program admission requirements, Transport Canada requirements, professional accreditation processes, application and enrolment procedures, assessment and testing, tuition for non-funded programs, Aviation medical clearance, etc.
  • Coordinates monthly CIATPL Program Admission Sessions (PAS) for applicants to provide important program information with our partners at Toronto Airways International (TAI).
  • Acts as a key guide connecting CIATPL students with Centennial College resources while engaging in learning and training off-campus (i.e., Oshawa Airport).
  • Provides comprehensive student advising and services in person, over the telephone, and via email to support student success and retention, as well as to resolve complaints and other issues.
  • Establishes courses and sections semesterly for CIATPL and builds course shells accordingly.
  • Follows-up with students as needed to promote program completion, including issues regarding attendance, assessment, program phases and requirements, etc.
  • Uploads information into Student Information System (ex. Banner), updating course information and attaching fees to each course manually.
  • Maintains accurate records for each intake (ex. medicals, tuition table, invoices, student records, calendar of projected start dates, PAS list, etc.)
  • Communicates with flight academy on student progress and ensures the posting of grades.
  • Accurately invoices all new and continuing CIATPL students for phases of the program.
  • Monitors and tracks enrolment, tuition payments, and expenses for the CIATPL portfolio, with guidance from the Associate Dean as needed.
  • Supports Aviation programs and new program initiatives across the Aviation department.
  • Provides backup to Aviation Program Support Officers, including cross-training to other Program Officers as needed.
  • Participates actively in School/College committees and events, including as the subject matter expert for the CIATPL program.


Qualifications/Experience
  • 2-year diploma, or equivalent in Office or Business Administration, with preference for a focus in Aviation or Flight/Pilot Training; or a combination of education, worked experience, and/or lived experience that demonstrates equivalent knowledge, skills, and abilities.
  • Three (3) years of work experience in student or client services, with demonstrated knowledge of program coordination and educational or financial administration.
  • Advanced proficiency in Microsoft Excel and Microsoft Office Suite, including word processing, spreadsheet development, presentations, and business-related financial and accounting functions.
  • Familiarity with the aviation industry is strongly preferred; knowledge of Transport Canada regulations, policies, and requirements is an asset.
  • Previous experience with the administration of an accredited program or other major partnered project, such as implementing stakeholder requirements/criteria, producing update reports, facilitating dialogue with external regulators or other bodies, etc.
  • Proven administrative skills and attention to detail required for developing and maintaining departmental processes and records.
  • Demonstrated experience with client and/or contractor invoicing, and CRM databases
  • Ability to organize complex information and data (including financial figures), as well as demonstrated analysis and problem-solving skills.
  • Excellent interpersonal, written, and spoken communication skills, with confidence presenting to small or large groups of students, clients and/or stakeholders.
  • Ability to actively guide and work with prospective and current clients on an ongoing basis.
  • Previous experience in an adult learning/training, post-secondary, or other educational setting is preferred.
  • Reliable ability to travel between Centennial College Downsview campus and Peterborough Airport as needed.
