The Opportunity: The Contract Administrator is responsible for the administration of contracts throughout their lifecycle.
The position supports internal departments by coordinating contract execution, maintaining contract records, monitoring vendor performance requirements, tracking insurance and compliance documentation, managing contract renewals and expirations, all through the electronic contract management system as well as supporting departments as it relates to contract deliverables.
The position serves as a key liaison between Procurement, Legal Services, departmental contract owners, and vendors to promote effective contract management, compliance, transparency, accountability, and vendor performance across the organization. This position focuses primarily on post-award contract administration rather than competitive procurement activities.
Responsibilities Include:
• Coordinate the preparation, review, finalization, and execution of agreements following contract award, including internal approvals, vendor signatures, and consistency with approved procurement documents.
• Maintain electronic contract files, databases, and a centralized contract repository, ensuring accurate documentation and proper records retention.
• Monitor contract milestones, obligations, amendments, deliverables, terms, commencement dates, renewals, extensions, and expiry dates.
• Prepare or support the preparation of contract amendments, extensions, and administrative modifications.
• Provide advance notification through software to departments regarding upcoming contract expirations and coordinate renewal discussions and extension requirements with contract owners.
• Produce regular reports on contract status, renewals, expirations, and compliance activities.
• Support departments in administering vendor performance programs, including the collection and documentation of vendor performance evaluations.
• Monitor service level agreements (SLAs), key performance indicators (KPIs), and contract deliverables.
• Track vendor performance issues, assist departments in documenting corrective actions, and maintain vendor performance records for future procurement activities.
• Monitor certificates of insurance, bonding documents, licenses, registrations, and other compliance requirements, and notify vendors and departments regarding expiring compliance documentation.
• Ensure required documentation remains current throughout contract terms, assist in identifying and escalating potential contract compliance risks, and support audits and records requests related to contract administration.
• Provide guidance to departments on contract administration processes and best practices, liaise with suppliers, vendors, Legal Services, Finance, and departmental representatives, respond to inquiries, and support the continuous improvement of contract management procedures.
You Bring:• Diploma or degree in supply chain management, business administration, public administration, commerce, legal administration, contract management, or a related discipline.
• Certified Public Procurement Officer or Certified Professional Public Buyer certification or working toward certification.
• 3 to 5 years of related experience in contract administration, procurement support, vendor management, contract compliance, supply chain administration, or public sector administration.
• Working knowledge of procurement processes, contract management practices, vendor administration, and contract compliance requirements.
• Experience reviewing, interpreting, monitoring, and maintaining contracts, agreements, and related documentation.
• Experience tracking contract deliverables, obligations, timelines, renewals, expirations, and compliance documentation.
• Knowledge of public sector procurement, administration, or municipal processes is considered an asset.
• Strong organizational and time management skills, with the ability to manage multiple agreements and deadlines.
• Ability to interpret contract clauses and obligations with accuracy and sound judgment.
• High attention to detail and commitment to accuracy.
• Strong communication skills, with the ability to work effectively with vendors and internal stakeholders.
• Sound judgment, discretion, and professionalism.
