Position Summary

The Construction Coordinator supports the planning, coordination, and execution of industrial construction and maintenance projects. This position serves as a key link between Project Management, Superintendents, Foremen, craft personnel, subcontractors, vendors, Engineering, HSE, QA/QC, and the client.

The Construction Coordinator is responsible for coordinating daily project activities, tracking manpower and materials, maintaining project documentation, supporting scheduling and planning efforts, and helping ensure work is completed safely, efficiently, on schedule, and in accordance with project requirements.

Essential Duties and Responsibilities

  • Coordinate daily construction activities across multiple craft disciplines.
  • Work closely with the Project Manager, Construction Manager, Superintendents, and Foremen to ensure project priorities are understood and executed.
  • Assist with development and maintenance of project schedules and work plans.
  • Coordinate manpower requirements and workforce assignments.
  • Track daily manpower, hours worked, production, and progress.
  • Coordinate mobilization, onboarding, site access, training, and badging requirements.
  • Assist with planning and scheduling of industrial maintenance, construction, and turnaround activities.
  • Coordinate work between multiple crafts and contractors to prevent conflicts and delays.
  • Monitor project progress and communicate schedule concerns to Project Management.
  • Coordinate materials, tools, equipment, and other resources required for field execution.
  • Track material deliveries and identify potential shortages or delays.
  • Maintain accurate project records, reports, logs, and documentation.
  • Assist with preparation of daily, weekly, and monthly project reports.
  • Attend construction coordination, client, planning, safety, and progress meetings.
  • Prepare meeting agendas, take meeting notes, and track action items.
  • Follow up with responsible personnel to ensure action items are completed.
  • Assist with purchase orders, material requests, equipment requests, and subcontractor coordination.
  • Support Project Management with change-order documentation and additional-work tracking.
  • Coordinate RFIs, field questions, and other project correspondence.
  • Assist with tracking punch-list items and project closeout activities.
  • Ensure required documentation is submitted to the appropriate departments.
  • Maintain organized electronic and hard-copy project files.
  • Provide administrative and field support to the project team as needed.

Industrial Project Coordination

The Construction Coordinator may support projects involving:

  • Track planned versus actual progress.
  • Monitor upcoming work and identify resource requirements.
  • Coordinate daily and weekly work plans with field supervision.
  • Track schedule milestones and completion dates.
  • Identify potential delays and communicate them to management.
  • Assist with recovery plans when work falls behind schedule.
  • Coordinate activities around plant operations and client priorities.

Manpower Coordination

  • Maintain current manpower reports by craft and work area.
  • Track employee mobilization and demobilization.
  • Coordinate onboarding and site-access requirements.
  • Communicate manpower needs to recruiting and management.
  • Assist with workforce forecasting.
  • Track overtime and hours worked.
  • Verify timekeeping information and resolve discrepancies.
  • Coordinate workforce changes with Superintendents and Project Management.

Safety Responsibilities

  • Support the project's safety program and site-specific requirements.
  • Ensure personnel have completed required safety training before beginning work.
  • Coordinate safety orientations, training, and site-access requirements.
  • Participate in toolbox meetings, safety meetings, and project safety activities.
  • Track safety documentation as required.
  • Immediately communicate safety concerns to the appropriate supervisor or HSE representative.
  • Ensure project activities are coordinated in accordance with applicable OSHA and client requirements.
  • Support incident reporting and documentation when required.

QA/QC Coordination

  • Coordinate with QA/QC personnel regarding inspections and testing.
  • Track inspection requirements and documentation.
  • Assist with punch-list tracking.
  • Maintain project quality documentation.
  • Coordinate correction of identified deficiencies with field supervision.
  • Ensure required turnover documentation is collected and submitted.

Client & Contractor Coordination

  • Serve as a communication link between the project team and client representatives.
  • Coordinate daily priorities and work-area requirements.
  • Maintain professional communication with subcontractors and vendors.
  • Follow up on outstanding requests, materials, documentation, and field issues.
  • Assist with client progress reports and presentations.
  • Ensure commitments made during coordination meetings are tracked and followed through.


Qualifications

  • Ability to read and understand basic drawings, schedules, work packages, and project documents.
  • Strong organizational and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong Microsoft Office skills, particularly Excel, Word, Outlook, and Teams.
  • Experience with project management, scheduling, or document-control systems preferred.
