Position Summary
Reporting to both the Director, Total Compensation and HR Operations and the Manager, Job Evaluation, the Compensation Analyst and Position Control Support is a key member of the Compensation team responsible for administering Academic salary calculations, step placement, classification, accumulated service, salary step increases, leave accruals, and other compensation-related adjustments in accordance with Collective Agreements, Local Agreements, College policies, and established practice.

The Analyst acts as a primary salary calculator for assigned Schools and departments and provides guidance to clients on compensation processes, documentation requirements, pay administration, leave accruals, and related employment administration matters. The role requires the incumbent to review and interpret salary, vacation, leave, contract, attendance, and service-related information, and to maintain accurate documentation and decision records that may be relied upon in responding to employee, management, union, or Labour Relations inquiries.

Working with Compensation leadership, Labour Relations, Disability Management, Payroll, HRIS, and other People, Equity and Culture partners, the incumbent gathers and verifies records, reconciles calculations, prepares supporting documentation, and assists in supporting the College's position when salary calculations, vacation calculations, leave accruals, attendance records, or related compensation decisions are challenged.

The Analyst also provides secondary support for position control-related documentation, reporting, and analysis by maintaining accurate compensation and position-related records, preparing reports, assisting with data validation, and supporting the integrity of information used for salary administration, contracts, payroll, organizational reporting, HR planning, and confidential employee administration.

Responsibilities
  • Perform and validate Academic salary calculations in accordance with Collective Agreements, Local Agreements, Terms and Conditions of Employment, HR policies, and College practices.
  • Partner with Deans, Associate Deans, Schools, and departments to collect, review, and confirm information required for salary placement and contract administration.
  • Calculate or verify starting classifications, salary steps, accumulated service, maximum salary steps, and future step progression for Academic employees.
  • Review transcripts, credentials, teaching experience, occupational experience, and other salary factors to support accurate and consistent compensation decisions.
  • Provide guidance on part-time, partial-load, contract, additional education, and Teacher of Adults program impacts on salary placement and progression.
  • Monitor non-full-time Academic contracts for compliance with Collective Agreement provisions, including sessional status and "12 in 24" limits.
  • Verify overtime, 11-month bonus payments, anomaly payments, retroactive adjustments, faculty additional work payments, and other compensation-related payments.
  • Review and/or support EPAFs assigned for faculty performing additional work, ensuring that payment details, assignment information, approvals, and supporting documentation are consistent with Collective Agreement provisions, College practices, and internal approval requirements.
  • Research and analyze unique or complex compensation situations and maintain documentation of resulting decisions, guidelines, and past practice to support consistency in future salary administration decisions.
  • Provide guidance to departments regarding limited probation contract employees, including limited probation contract procedures, processes, and related compensation or employment implications.
  • Conduct research into how other colleges or employers compensate employees, interpret collective agreement provisions, apply salary administration rules, or manage comparable compensation issues.
  • Support Compensation Leadership and Labour Relations in reviewing and responding to employee or union inquiries, disputes, or grievances related to salary calculations, contract status, accumulated service, salary step placement, additional work payments, and related compensation administration matters.
  • Provide supporting documentation and explanations to substantiate the College's position, including the calculation methodology, records relied upon, and rationale for decisions. This includes explaining and defending the accuracy of calculations, the application of Collective Agreement provisions, and the supporting documentation used to reach the decision.
  • Recommend and/or implement compensation-related process improvements, including updates to forms, calculation tools, guidelines, instructions, training materials, and client-facing resources.
  • Provide guidance and support to employees, managers, and departments on Faculty, Administrative, Support, and RPT leave accruals, entitlement calculations, leave recording, vacation calculations, sick leave balances, and program administration.
  • Investigate leave inquiries and adjust complex leave balance discrepancies, including RPT sick leave administration, entitlement updates, balance adjustments, and annual leave roll reconciliation.
  • Support Compensation Leadership and Labour Relations in reviewing and responding to employee or union inquiries, disputes, or grievances related to vacation calculations, leave accruals, sick leave balances, attendance records, and related entitlement matters.
  • Work with Disability Management, Labour Relations, Payroll, HRIS, and client departments to gather, review, and reconcile confidential attendance, leave, and absence-related information where required to support leave entitlement administration, disability-related absence matters, or the College's response to employee or union challenges.
  • Maintain organized and accurate compensation documentation, salary calculation records, decision logs, guidelines, correspondence, confidential documentation, attendance-related records, leave records, and supporting materials in accordance with document retention, confidentiality, and version control requirements.
  • Prepare, update, analyze, and respond to reports related to salary calculations, Academic compensation activity, contract data, step placement, accumulated service, anomalies, leave accruals, attendance, and other compensation trends or issues.
  • Use Banner, FLAC, AISMartR, Excel, and related systems/tools to extract, validate, reconcile, and summarize compensation and position-related data for review by the Compensation team and client areas.
  • Prepare confidential summaries, records, calculations, and supporting documentation for Compensation Leadership, Labour Relations, Disability Management, Payroll, HRIS, and other PEC partners to support the College's position in compensation, leave, attendance, contract, or employee administration matters.
  • Provide secondary position control support, including position number updates, supervisor audits, data corrections, org chart reporting, and collaboration with HRIS, Payroll, Finance, Job Evaluation, Position Control, and Talent Acquisition.
  • Support related compensation, HR operations, reporting, documentation, audit, confidential employee administration, and process improvement initiatives as required.


Qualifications/Experience
  • Completion of a three-year college diploma or degree in Business Administration, Human Resources, or a comparable field.
  • Certified Human Resources Professional (CHRP) or WorldatWork Certified Compensation Professional (CCP) designation is an asset.
  • Minimum three years of related experience in compensation administration, salary calculations, payroll or contract review, HR reporting, or related HR operations processes.
  • Strong understanding of Academic salary step calculations and experience working with the Faculty Load and Compensation (FLAC) module in Banner.
  • Demonstrated experience creating spreadsheets using formulas, functions, reconciliations, and data validation.
  • Good understanding of Banner table structures and reporting tools to support AISMartR reports and other compensation or HR data outputs.
  • Basic knowledge of salary administration, compensation policies and practices, collective agreement interpretation, and HR operations processes.
  • Strong math and analytical skills, with comfort working with calculations, formulas, salary grids, service records, contract data, and statistical or trend information.
  • Strong analytical and communication skills, including the ability to explain compensation requirements and documentation needs clearly to client groups.
  • Ability to communicate with diplomacy and tact while maintaining confidentiality and accuracy in sensitive compensation matters.
  • Ability to prioritize and manage time in order to meet deadlines and respond to high-volume client, reporting, and documentation requests.
