The Community Engagement & Philanthropy Program Specialist will provide hands-on operational support for MUFG's community engagement, employee volunteerism, matching gifts, grant administration, philanthropic reporting, and related program activities across the Americas. This contingent worker role supports day-to-day execution, data integrity, documentation, employee and stakeholder support, vendor and nonprofit coordination, and recurring reporting needs. The position is intended to strengthen operating continuity and administrative discipline across established Community Engagement & Philanthropy programs.

Key Responsibilities
Community Engagement Program Administration
  • Support daily administration of employee volunteer programs and community engagement initiatives across the Americas.
  • Maintain volunteer opportunities, calendars, registration lists, participant tracking, and post-event documentation.
  • Support ERNs, CORE Councils, local volunteer leads, site champions, and business partners with volunteer activity coordination.
  • Help ensure volunteer activities are documented consistently and aligned with established program procedures.


Matching Gifts and Employee Giving
  • Administer matching gift processes, including request review, documentation collection, employee inquiries, vendor follow-up, and evidence file maintenance.
  • Support review of external match requests against established program requirements and escalate questions or exceptions as appropriate.
  • Maintain documentation for higher-value match requests, second-review evidence, declines, reconciliations, and related follow-up.
  • Assist with donation reporting, account statement tracking, and recurring reconciliation activities.


Grants and Philanthropy Operations
  • Support grant administration, nonprofit documentation, application tracking, payment coordination, and reporting.
  • Help maintain organized records for charitable contributions, nonprofit partner documentation, grant status updates, and supporting evidence.
  • Coordinate with internal partners to support purchase requests, invoices, payment follow-up, and documentation requirements.
  • Assist with preparation of materials and files needed for quarterly, annual, audit, regulatory, and ad hoc reporting requests.


Systems, Data, and Reporting
  • Maintain accurate records in Benevity Spark / MUFG Gives Back, Benevity Versaic / Grants Management, SharePoint, Teams, Excel trackers, planning calendars, and reporting folders.
  • Pull, reconcile, and validate recurring donation, volunteer, matching gift, and philanthropic contribution reports.
  • Support data quality checks, file naming discipline, folder organization, and documentation completeness.
  • Prepare working files and summaries to support internal reporting, leadership updates, audits, regulatory examinations, and program reviews.

Vendor, Nonprofit, and Stakeholder Coordination
  • Coordinate with internal stakeholders, including Inclusion & Philanthropy, Finance, Legal, IT, Accounts Payable, Marketing/Communications, ERNs, CORE Councils, and regional partners.
  • Coordinate with external nonprofit partners and vendors to resolve operational issues, confirm logistics, obtain documentation, and support program delivery.
  • Track open items, follow-ups, approvals, invoices, purchase requests, and partner responses through completion.
  • Escalate sensitive, policy-related, budget, legal, or reputational matters to the appropriate MUFG employee owner.

Communications and Employee Engagement Support
  • Support communications, event invitations, participant reminders, logistics updates, Bridge story inputs, and program summaries.
  • Use approved templates and established review processes for volunteer event communications and employee-facing materials.
  • Respond to routine employee inquiries related to volunteer activities, matching gifts, giving platform navigation, documentation, and program logistics.
  • Prepare draft summaries and inputs for internal updates, newsletters, and stakeholder reporting.

Signature Program Support
  • Support signature initiatives such as 9/11 Day of Service, Season of Giving, and multi-office volunteer efforts.
  • Assist with logistics, registration links, participant tracking, communications, t-shirt orders, invoices, purchase requests, calendar coordination, vendor follow-up, and post-event documentation.
  • Maintain planning trackers, event folders, photo release documentation, registration lists, and evidence files.
  • Coordinate with local leads, nonprofit partners, vendors, and internal stakeholders to support timely and well-documented execution.

Required Qualifications
  • Bachelor's degree or equivalent experience preferred.
  • 3-5 years of experience in community engagement, philanthropy, CSR, nonprofit partnerships, employee engagement, program administration, or a related field.
  • Strong program coordination, project management, data management, and organizational skills.
  • Experience managing multiple deadlines, stakeholders, and documentation requirements.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office, especially Excel, Word, PowerPoint, Teams, Outlook, and SharePoint.

Preferred Qualifications
  • Experience with Benevity, Versaic, or comparable giving, volunteering, or grant management systems.
  • Experience working in financial services, a regulated industry, or a large matrixed organization.
  • Experience supporting employee volunteerism, matching gifts, grants, corporate philanthropy, CSR, or nonprofit programs.
  • Strong attention to detail and comfort with reporting, reconciliation, evidence documentation, and recurring controls.

The typical base pay range for this role is between $100K - $115K depending on job-related knowledge, skills, experience, and location. This role may also be eligible for certain discretionary performance-based bonuses and/or incentive compensation.
