UMHC - SCCC - Nutrition Services has an excitng opportunity for a Clinical Program Manager (Hybrid) position. The incumbent aids in the support of various clinical programs. An employee in this position supports their leader with managing assigned program components, preparing clinical documentation, and preparing reports. The incumbent exercises considerable independent judgment and discretion in managing and carrying out daily activities while adhering to policies and procedures. CORE JOB FUNCTIONS • Directs and coordinates assignments for program operations. • Evaluates office production, revises procedures, and devises new forms to improve efficiency and workflow. • Manages clinical operation and quality assurance procedures. • Implements projects and procedures to ensure program performance is exceeding expectations. • Performs assessment of needs within the organization and develops clinical programs to meet those needs. • Maintains required records and reports statistics for administrative, quality assurance, and safety and control purposes. • Coordinates the development, implementation, and evaluation of departmental or program area policies and procedures designed to improve operational efficiency. • May oversee various personnel actions, including but not limited to, hiring, performance appraisals, disciplinary actions, termination, and other related activities. • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures. CORE QUALIFICATIONS • Bachelor's degree in relevant field required • Minimum 3 years of relevant experience required Certification and Licensing: Refer to department description for applicable certification requirements DEPARTMENT SPECIFIC JOB FUNCTIONS Clinical Program Manager - Nutrition, Exercise Physiology & Yoga Therapy Role Purpose The Clinical Program Manager provides operational oversight for the Nutrition, Exercise Physiology, and Yoga Therapy service lines to ensure efficient clinic operations, strong patient access, provider support, and alignment with departmental and organizational goals. This role is responsible for optimizing scheduling workflows, supporting clinic growth, improving operational efficiency, monitoring performance metrics, and ensuring continuity of operations across multiple sites. The Clinical Program Manager serves as a key operational liaison between providers, scheduling teams, departmental leadership, and site operations. This position also provides direct supervision to designated support staff and serves as operational backup support to departmental leadership for critical scheduling and template functions. Direct Supervision & Staff Management Directly supervises: • Dietetic TechnicianRegistered, DTR Responsibilities: • Conduct regular 1:1 meetings and ongoing performance coaching • Oversee daily workflow expectations and task prioritization • Monitor productivity, accountability, attendance, and performance • Complete annual evaluations and goal setting • Support onboarding and training of new staff (DTR) • Supports DTR responsibilities, such as triaging referrals when additional coverage is required or during overflow periods • Address performance concerns and escalate when appropriate Expectations: • Maintain staff accountability • Promote operational efficiency • Ensure coverage continuity when staffing gaps arise Clinic Operations Management Responsible for daily clinic operational oversight for Nutrition, Exercise, and Yoga services. Responsibilities: • Manage clinic closures related to: • PTO • Meetings • Conferences • Schedule adjustments • Provider call-outs • Ensure compliance with departmental clinic closure timelines whenever possible • Coordinate clinic coverage planning • Minimize disruption to patient scheduling Expectations: • Ensure clinics remain operationally efficient • Reduce unnecessary appointment loss • Maintain continuity of patient care services Template Management & Scheduling Oversight Serves as backup support for leadership in scheduling infrastructure. Responsibilities: • Provide backup support to Nichole for: • Template building • Template modifications • Provider schedule builds • Epic scheduling updates • Clinic closures • Monitor template accuracy • Ensure scheduling teams are following template guidelines • Identify scheduling inefficiencies Expectations: • Reduce scheduling errors • Ensure templates maximize access and provider efficiency Access Optimization & Slot Utilization Monitor clinic performance to improve patient access. Responsibilities: • Track: • Fill rates • Slot utilization • Schedule utilization • Open capacity • No-show trends • Cancellation trends • Identify underutilized appointments • Recommend scheduling adjustments • Support access improvement strategies Expectations: • Improve patient access • Reduce unused appointment slots • Support department productivity goals Reporting & Operational Analytics Responsible for operational reporting and performance monitoring. Responsibilities: • Track inventory levels • Monitor supply usage trends • Coordinate ordering needs • Prevent shortages and over-ordering • Maintain inventory documentation Expectations: • Maintain operational readiness • Support cost-conscious resource management Multi-Site Operational Coordination Support operational consistency across all assigned clinic locations. Responsibilities: • Coordinate operational needs across multiple sites • Address room utilization concerns • Partner with site leadership when issues arise • Support service expansion planning Program Development & Growth Support Support departmental growth initiatives. Responsibilities: • Assist with service expansion efforts • Support implementation of new programming • Identify workflow improvements • Support department strategic initiatives • Support offerings and expansion of group exercise and yoga therapy classes Process Improvement & Workflow Development Continuously improve workflows and operational systems.
