Back Office Clinical Operations Manager - Laguna Woods, CA
Position Overview The Back Office Clinical Operations Manager leads clinical staff and daily back-office operations across six orthopedic clinic locations. This role is responsible for staff scheduling, cross-location personnel deployment, inventory management (medical supplies, DME, and specialized kits), surgical coordination clearance, hands-on clinical support, and direct management of over 30 clinical support staff.
The ideal candidate will possess a strong, confident presence with the resilience needed to manage medical assistants, collaborate directly with physicians, and drive operational efficiency in a dynamic, fast-paced environment.
Responsibilities - Staff Scheduling & Float Management: Build and publish daily clinic schedules; allocate Medical Assistants (MAs) to maintain 1:1 or 1:2 provider ratios; coordinate float rotations for Ortho and X-Ray Techs across all sites.
- Direct Team Leadership & Hiring: Lead, onboard, and retain 30+ back-office staff (MAs, X-ray Techs, Ortho Techs, Scribes); partner on hiring initiatives; process bi-weekly timecards, attendance, and PTO.
- Hands-On Clinical Support: Step in to provide direct patient care and back-office clinical assistance as needed to maintain daily workflow efficiency.
- Inventory Control & Procurement: Oversee procurement, auditing, and par levels for exam rooms, DME, PRP kits, and surgery suites, mitigating stockouts and vendor supply delays.
- Surgical Readiness: Ensure preoperative clearances, H&P packets, and required clinical documentations are completed and transmitted promptly.
- Workflow & Inbasket Oversight: Assign daily patient messaging coverage to meet EHR response standards; prioritize urgent authorization workflows with referral coordinators.
- Patient & Payor Relations: Investigate and resolve clinical patient complaints and insurance payor grievances to ensure compliance and quality care.
Required Qualifications - 3-5+ years of clinical management or supervisory experience in a medical practice setting.
- Proven hands-on experience leading teams clinically and willingness to jump in on patient care when needed.
- Excellent problem-solving skills with a track record of managing dynamic, multi-site staff float schedules.
- Strong communication skills and a confident, assertive demeanor suitable for managing clinical support staff and communicating directly with physicians.
Preferred Qualifications - Experience managing operations for a multi-site medical group.
Schedule - Shift: Monday - Friday, 8-hour daily shifts (Full-Time)
