Position Summary:

The Clinic Manager plays a pivotal role in the growth and success of Ellie Mental Health overseeing a clinic operations, staff performance, and community impact. This position requires a dynamic, organized, and people-centered leader who thrives in a fast-paced environment and is passionate about both clinical excellence and team development. The Clinic Manager is an administrative, managerial, leadership role responsible for supporting the Clinic Director in the oversight of performance and operations of the clinic. This position supports the Clinic Director and clinic staff; assist with staffing needs; provides resource support, supervision and operation oversight. Must be able to maintain a caseload of a minimum of 20 to 23 billable client visits per week. Clinic Manager serves as an administrative task supervisor to clinicians at their dedicated clinic. This role is in-person role at our North Wales- Lansdale location

  • Building and managing a high-performing clinic
  • Partnering with the Clinic Director and Supervisor to guide staff to meet performance expectations and grow professionally
  • Leading community outreach, marketing and social media efforts to expand the clinic's presence
  • Building out and growing a second clinic location


Hiring and Onboarding:
  • Lead and support clinic director in the recruitment process, hiring, and training for a minimum of 10-20 therapists to meet clinic staffing and revenue goals
  • Manage onboarding and guide new hires through orientation and development
  • Coordinates with Clinic Director to ensure new hires receive appropriate clinical guidance, Ellie Match setup, and scheduling support


Administrative/Operations:
  • Fully understand, uphold and keep current all Ellie operations and policies
  • Support staff in building and maintaining their caseload (begins 4 weeks before start date) and partner with Clinic Director to hold them accountable for meeting performance expectations
  • Under the direction of the Clinic Director, prepare quarterly reviews and partner with the Clinic Supervisor to provide 1:1 consultation with all therapists to review productivity, caseload, retention, and clinical documentation quarterly
  • Manage staff performance, including Performance Coaching, in partnership with Clinic Director and Clinic Supervisor
  • Create a culture that fosters collaboration and inclusion


Clinic Management:
  • Work with Clinic Director and Owner to achieve fiscal and operational excellence
  • Respond promptly to concerns raised by clients, clinicians, or external stakeholders
  • Serve as point of contact for building management related issues or concerns and supply needs


Clinic Outreach, Marketing, and Networking:
  • Lead community outreach, marketing, and networking efforts to strengthen referral partnerships and community visibility
  • Attend outreach events and spearhead and staff Ellie recruitment tables for clients and clinicians.
  • Manage the clinic's online and social media presence to promote Ellie's mission and ensure the community knows who we are
  • Weekly review and updates of Psychology Today, Ellie Match, Uberall, Google Business, and other social media platforms


Essential Duties:
• Maintain billable hours expectations
• Participate in the Ellie clinic manager meetings which includes reviewing clinic KPIs and clinic accounts receivable (client & insurance)
• Triage clinic staff's administrative questions and concerns by connecting them to appropriate tools and resources
• Troubleshoot issues with Clinic Director and Biller in relation to systems such as Valant, Teams, Outlook, credentialing and Billing
• Collaborate with clinic director to support clinic in positive culture building (celebrations, anniversaries, community activities/events, team building activities, etc.)
• Monitor clinic capacity and practice patterns in support of the clinic director in hiring to meet FTE staffing requirements (office space and client waitlist)
• Partner with clinic director to monitor clinic staffing (Caseloads, hiring, office space and waitlists)
• Increase avg appointments per patient by working on strategies with staff
• Coordinate with clinic director to support the hiring process; this includes screening, interviewing, and onboarding processes
• Coordinate office supply orders for clinic (ordering and monitoring)
• Co-facilitate clinic meetings and facilitate consultation groups, supervision and including documentation via Valant
• Collaborate with clinic director to maintain organizational policies and procedures
• Audit documentation for clinic in Valant to ensure compliance and compliance.
• Serve as back-up for CD when they are out of the office
• Additional duties as assigned

Qualifications:
• Master's degree or higher in a mental health discipline
• Active clinical license in state of PA (LCSW, LPC and LMFT) for a minimum of 4.5 years
• Excellent understanding of Pennsylvania Mental Health Code and CMS guidelines
• Strong problem-solving and leadership skill sets
• Excellent verbal and written communication skills
• Excellent interpersonal and leadership service skills
• Excellent organizational skills and attention to detail
• Strong working understanding of Ellie Mental Health practices and procedures
• Troubleshoot client issues within Valant, Teams, Outlook, and with the CATs & Billery teams as needed
• Excellent time management skills with a proven ability to meet deadlines
• Ability to adapt well in a high-paced and changing environment
• Proficient with Microsoft 365 applications, including Office Suite, Outlook, and Teams

Compensation: $75,000.00 - $100,000.00 per year
