Full Job Description
Based at Stark Enterprises corporate office, the Centralized Scheduler and Project Controls develops, maintains, and standardizes master project schedules across the company's portfolio of build-for-rent (BFR) communities. This role ensures a consistent scheduling methodology, provides schedule analytics to project and executive leadership, and partners closely with onsite project management and superintendent teams to maintain disciplined, data-driven project schedules.

Essential Functions:

Schedule Development & Standardization:
  • Build and maintain the CPM master schedule for each active community in coordination with the Onsite Project Manager and Lead Superintendent.
  • Provide preliminary schedules for projects in Preconstruction to support planning, budgeting, and phasing decisions.
  • Develop the initial baseline schedule for each project prior to the start of construction for use as a subcontract exhibit.
  • Assist with daily schedule reconciliation based on input from field teams.
  • Standardize scheduling templates, activity coding, and status-reporting formats across all projects in the portfolio.
  • Maintain a resource-loaded, portfolio-level schedule view to help the Director of Construction plan staffing and equipment needs across projects.

Long-Lead Material Tracking:
  • Maintain a portfolio-wide long-lead material tracking log, including windows, trusses, roofing, mechanical equipment, appliances, and other critical materials, capturing order dates, fabrication/lead times, and expected delivery dates for each active community.
  • Cross-reference long-lead delivery dates against master schedule need-by dates and proactively flag at-risk items to the Director of Construction, Project Executives, and Procurement Specialist.
  • Coordinate with the Procurement Specialist and Estimator to align material release and order timing with schedule requirements.
  • Recommend expediting or resequencing strategies when deliveries are at risk of impacting the critical path.

Permit & Submittal Tracking:
  • Monitor a portfolio-wide tracking log for critical permits, including building, grading, utility, and right-of-way permits, and coordinate with the Director of Development and Contract Administrator to track application, review, and approval milestones against the schedule.
  • Monitor a portfolio-wide submittal log for shop drawings, product data, samples, and other required submissions, tracking submission dates and review/approval cycle times.
  • Work with the design team and Project Manager to identify and expedite overdue reviews.
  • Incorporate permit and submittal milestones into the master schedule's logic and lead-time buffers.
  • Report status, risk, and recovery plans to project and executive leadership.

Reporting & Analytics:
  • Issue regular schedule health reports, including critical path, float, and variance-to-baseline analysis, to the Director of Construction and Project Executives.
  • Analyze schedule performance and identify trends, risks, and opportunities for improvement across the project portfolio.
  • Model schedule impacts of proposed change orders, delays, and recovery plans.
  • Support delay and claims analysis as needed.
  • Provide data-driven recommendations to project and executive leadership to improve schedule performance.

Collaboration & Training:
  • Facilitate recurring schedule update meetings and incorporate field progress reported by onsite teams.
  • Provide weekly vendor notifications of upcoming schedule activities and distribute weekly schedule updates directly to vendors/subcontractors until Procore's centralized scheduling module is in place to support this function.
  • Train and support Project Managers and Superintendents on scheduling software, standards, and best practices.
  • Promote consistent adoption of scheduling standards and processes across the project portfolio.
  • Continuously evaluate scheduling processes and identify opportunities to improve reporting, accuracy, efficiency, and communication.

Other:
  • Stay informed on construction scheduling methodologies, project controls practices, scheduling technology, and industry best practices.
  • Complete assigned projects, strategic initiatives, and special projects.
  • Complete additional duties and responsibilities as assigned by the Director of Construction.


Skills and Experience:
  • Bachelor's degree in Construction Management, Engineering, or a related field preferred, or equivalent industry experience.
  • 5+ years of construction scheduling experience, ideally across multiple concurrent multifamily or build-for-rent (BFR) projects.
  • Proficiency with scheduling software, including Primavera P6 and/or Microsoft Project, and schedule-reporting tools required.
  • Strong analytical skills and working knowledge of CPM methodology, resource loading, critical path analysis, and delay analysis.
  • Experience tracking long-lead procurement, permitting, and submittal logs and incorporating them into a master construction schedule.
  • Strong communication and facilitation skills, with the ability to train and support field teams on scheduling standards.
  • Ability to manage multiple projects, deadlines, and competing priorities across a portfolio with excellent attention to detail and organization.
  • Ability to walk active construction sites, climb stairs and ladders, and work in varying weather conditions when visiting project sites. Standard PPE, including hard hat, safety vest, and steel-toed boots, is required when visiting active job sites.

  • Travel: This position requires up to 25% travel to project sites. Some evening and weekend work may be required to meet portfolio reporting and project deadlines.

This role is responsible for identifying schedule risks, tracking critical milestones, evaluating impacts from delays and changes, and recommending recovery strategies. The position may recommend adjustments to scheduling methodology, reporting processes, sequencing, and project controls practices. Final decisions regarding project commitments, major schedule changes, contractual matters, staffing, and other project-level actions remain with the Director of Construction, Project Executive, or applicable project leadership.
