Duties & Responsibilities:

The Program Manager is responsible for the operational management, coordination, and implementation of strategic programs, facilities initiatives, and administrative operations that support the Pauley Heart Center's academic, clinical, research, and strategic missions. The position serves as a central resource for program development, project coordination, facilities planning, and operational improvement initiatives, while ensuring effective collaboration among internal and external stakeholders. Responsibilities include overseeing Cardiac CT and Cardiac MRI educational and training programs in partnership with Brightpoint Community College. Managing special projects, overseeing office and facility operations, coordinating renovation and space planning efforts, developing operational processes, and supporting the successful execution of Center priorities. In addition, the Program Manager provides independent coordination and strategic support to the Director of the Pauley Heart Center and serves as a liaison among university leadership, health system leadership, external partners, philanthropic stakeholders, and community organizations.

Core Responsibilities:

Program Management and Operational Leadership (70%)

  • Manage and coordinate operational, administrative, and strategic initiatives that support the Pauley Heart Center's academic, clinical, research, and organizational objectives.
  • Serve as the primary operational coordinator for the Cardiac CT and Cardiac MRI educational and training programs, collaborating with Brightpoint Community College, program participants, faculty, clinical partners, and leadership to ensure effective implementation, communication, and program growth.
  • Develop, implement, and improve processes, procedures, and workflows to enhance operational effectiveness and efficiency.
  • Serve as the operational lead for office administration, facilities management, and space utilization activities.
  • Coordinate facility maintenance, vendor services, contractor activities, and workplace operations to ensure a functional and professional environment.
  • Lead planning and coordination efforts for space renovation, capital improvement, and facilities-related projects.
  • Collaborate with leadership, faculty, staff, and external partners to identify operational needs and recommend effective solutions.
  • Monitor and coordinate activities related to special projects and initiatives of strategic importance to the Center.
  • Develop and maintain systems that support effective project management, operational oversight, and program execution.
  • Provide recommendations and support for planning initiatives involving space utilization, operational improvements, and organizational growth.

Strategic Leadership Support (30%)

  • Serve as the Director's principal administrative liaison and trusted representative for internal and external stakeholders.
  • Manage leadership communications, strategic coordination, and relationships across VCU, VCU Health, external academic institutions, government partners, philanthropic stakeholders, and community organizations.
  • Coordinate interactions involving university leadership, health system executives, academic partners, state legislators, government relations representatives, and major donors.
  • Prepare presentations, briefing materials, reports, correspondence, and supporting documentation for leadership meetings and strategic initiatives.
  • Facilitate communication, coordination, and follow-through for high-profile projects and priorities.
  • Exercise independent judgment and discretion while supporting sensitive and confidential matters.
  • Support the Director in advancing strategic initiatives that span the academic, clinical, research, educational, philanthropic, and governmental missions of the Center.

Qualifications:

Minimum Qualifications

  • Bachelor's degree in business administration, Healthcare Administration, Higher Education Administration, Project Management, Communications, or a related field; or equivalent combination of education, training, and experience.
  • Three (3) years of progressively responsible experience in program coordination, project management, operational administration, academic administration, healthcare administration, or related professional work.
  • Demonstrated experience coordinating projects, initiatives, events, or programs involving multiple stakeholders and competing priorities.
  • Experience managing operational processes, facilities-related activities, vendor relationships, or administrative operations.
  • Demonstrated ability to work independently, exercise sound judgment, and manage sensitive or confidential matters.
  • Strong organizational, written, verbal, and interpersonal communication skills.
  • Proficiency with Microsoft Office Suite and business productivity software.
  • Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.

Preferred Qualifications

  • Experience supporting programs, operations, or strategic initiatives within a healthcare, academic medical center, higher education, research, or nonprofit environment.
  • Experience coordinating complex projects involving multiple departments, leadership groups, vendors, contractors, and external partners.
  • Experience with facilities management, space planning, renovation projects, construction coordination, and operational improvement initiatives.
  • Experience serving as a liaison among leadership, community partners, donors, government representatives, and other internal and external stakeholders.
  • Proven ability to independently manage projects from planning through implementation while supporting executive leadership priorities.
  • Demonstrated ability to develop, implement, and improve operational processes and workflows.
  • Knowledge of healthcare operations, academic administration, research environments, or academic medical centers.
  • Experience utilizing planning, design, visualization, or space-allocation concepts to support facilities projects, operational planning, and strategic decision-making.

Salary Range: $72,100 - $95,700
