Full Job Description

This role supports Business System initiatives, such as Lean and enterprise system efforts, by coordinating events, managing project logistics, and providing administrative and operational support. The position ensures smooth planning and delivery of workshops, governance forums, and continuous improvement activities while maintaining alignment across cross-functional stakeholders.

This is a coordination and execution-focused role that supports Business System leaders (Global Supply Chain and Innovation) by managing logistics, standardizing processes, and ensuring clear communication across projects, workstreams, scaling efforts, and system integration.

Event & Program Coordination

  • Plan, schedule, and execute Business System events, including Kaizens, workshops, training sessions, and leadership reviews
  • Coordinate event logistics, including venues, travel, materials, technology, and communications
  • Manage preparation and execution calendars from start to finish
  • Ensure events follow standard work, templates, and governance requirements
  • Track attendance, outputs, and follow-up actions from sessions
  • Manage participant surveys, analyze results, and recommend improvements for future events

2. Project & Workstream Support

  • Support project managers and Business System leaders in tracking milestones, deliverables, bowler metrics, and timelines
  • Maintain project plans, metric trackers, and action logs
  • Coordinate cross-functional input and ensure timely follow-up
  • Prepare status updates, dashboards, and reporting materials
  • Promote alignment with enterprise tools, frameworks, and processes
  • Respond to information rollup requests for Executive Committee meetings

3. Administrative & Operational Support

  • Manage documentation, templates, and standard work for Business System activities
  • Prepare presentations, reports, and executive-ready materials
  • Maintain organized repositories and systems, including SharePoint and project tools
  • Support budgeting, expense tracking, and vendor coordination for events, outside services, and consultants
  • Provide travel, email, and calendar coordination for leadership as needed

4. Stakeholder Coordination & Communication

  • Serve as a central coordination point across Business System teams, HR, Operations, and other functions
  • Facilitate stakeholder communication to ensure clarity and alignment
  • Support the preparation and distribution of meeting materials and outputs
  • Document decisions, actions, and follow-ups accurately
  • Anticipate needs by understanding requirements and planning ahead

Qualifications & Experience

  • Direct experience in a Lean Business System environment
  • Bachelor’s degree in Business, Operations, or related field (or equivalent experience)
  • 5+ years of experience in project coordination, operations, or administrative/project support
  • Program Manager Experience/PMP certification preferred
  • Experience supporting events, workshops, or cross-functional programs
  • Strong organizational and multitasking skills with excellent attention to detail
  • Advanced proficiency in Microsoft Office, including PowerPoint, Excel, and Outlook
  • Experience with collaboration and project tools, such as SharePoint, Teams, and project trackers

HIRING SALARY RANGE: $100,000–$130,000. Salary will be determined based on the applicant’s education, experience, knowledge, skills, and abilities, as well as internal equity and market alignment.
