This position is ideal for a candidate who thrives in a fast-paced law firm environment and enjoys balancing litigation support responsibilities with operational and administrative leadership. The successful candidate will work closely with attorneys, firm leadership, and administrative personnel to support the efficient operation of the office while assisting attorneys with all phases of litigation.

 

Essential Duties and Responsibilities:

 

Litigation Legal Assistant Responsibilities

  • Provide comprehensive legal support to attorneys in litigation matters across all three CA offices.
  • Prepare, revise, proofread, and electronically file pleadings, motions, discovery, correspondence, and other legal documents in state and federal courts.
  • Manage attorney calendars, court deadlines, depositions, hearings, mediations, and client meetings.
  • Coordinate and assist with all aspects of discovery, including document production, subpoenas, deposition preparation, and exhibit management.
  • Organize and maintain electronic and physical case files.
  • Assist with trial preparation, witness coordination, exhibit binders, trial notebooks, and logistics.
  • Enter attorney time, assist with billing coordination, and support matter management activities.
  • Communicate professionally with clients, courts, opposing counsel, vendors, and experts.
  • Maintain strict confidentiality of client and firm information.

 

Assistant Office Manager Responsibilities

  • Assist with the day-to-day management and operation of the San Francisco office.
  • Serve as a resource to attorneys and staff regarding office procedures and administrative matters.
  • Liaise with billing, collections and file opening departments to ensure compliance with firm protocols and objectives.
  • Help oversee reception, facilities coordination, office vendors, supplies, and office services functions.
  • Support onboarding and orientation activities for new hires.
  • Coordinate office events, training programs, meetings, and employee engagement initiatives.
  • Assist with office budgeting, invoice processing, and vendor management.
  • Partner with Human Resources and firm leadership on employee relations, compliance, and administrative projects.
  • Monitor office operations and identify opportunities to improve efficiency and service levels.
  • Provide leadership and support during the absence of the Regional Office Manager and participate in special projects as assigned across CA offices.

 

Qualifications:

 

Required

  • Minimum 8 years of litigation legal assistant experience in a law firm environment.
  • Previous experience supporting multiple attorneys in complex litigation matters.
  • Strong knowledge of California and federal court filing procedures.
  • Exceptional organizational, prioritization, and time-management skills.
  • Excellent written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Ability to manage competing priorities and deadlines with minimal supervision.
  • Professional demeanor with outstanding client-service skills.

 

Preferred

  • Previous law firm office management, supervisory, or administrative leadership experience.
  • Experience working with legal document management and practice management systems.
  • Experience supporting insurance defense, employment, professional liability, commercial litigation, or general liability practices.

Expected Salary Range: $95,000 - $115,000

Actual compensation will be determined based on market location, as well as the candidate’s experience, skills, and job-related qualifications.
