Job Description

The Assistant Director, Operations and Engagement, supports the Texas A&M Semiconductor Institute {TSI) by coordinating institute operations, stakeholder engagement activities, and high-impact events that advance strategic priorities. Reporting to the Director, Business Operations, this position helps develop and manage the internal processes, planning systems, and engagement infrastructure needed to support a growing institute. The role serves as a key coordinator across institute leadership, System Offices, members, external partners, and service providers, with responsibility for Leadership Council support, process development, event execution, and special initiatives.

Responsibilities:

Operations and Process Coordination

- Supports day-to-day coordination of institute operations through development and maintenance of workflows, calendars, trackers, templates, and other management tools.

- Assists in designing, documenting, and refining internal processes to improve efficiency, consistency, and operational visibility.

- Supports development and maintenance of standard operating procedures, intake mechanisms, planning resources, and related administrative tools.

- Coordinates timelines, deliverables, and follow-up across recurring institute activities and special initiatives.

- Helps identify process improvement opportunities and recommends practical solutions to strengthen institute operations.

Leadership Council and Stakeholder Engagement

- Manages coordination of TSI Leadership Council activities, including scheduling, agenda support, materials preparation, communications, meeting logistics, attendance tracking, and follow-up actions.

- Supports engagement with external stakeholders, including industry, academic, agency, philanthropic, and community partners, as assigned.

- Maintains stakeholder records, engagement trackers, and related planning materials to support coordinated relationship management.

- Helps ensure a high-quality stakeholder experience through organized communications, responsive follow-through, and well-executed engagements.

Events, Visits, and Executive Logistics

- Leads planning and execution support for institute events, meetings, visits, convenings, and related programs.

- Develops and maintains repeatable planning processes, checklists, and tools to support successful event execution.

- Coordinates with internal staff, vendors, venues, and external participants to manage event logistics and deliverables.

- Supports executive logistics and briefing preparation for high-visibility meetings and engagements. Administrative and Business Operations Support

- Provides operational support for selected budget, procurement, contracting, and administrative processes, as assigned.

- Assists with routing, tracking, and follow-up for approvals, requests, and related institute business processes.

- Coordinates with relevant offices across The Texas A&M University System, Texas A&M University, and other members, as appropriate, to support institute operations.

- Prepares briefing materials, status reports, summaries, and other planning documents for institute leadership.

- Supports special projects and other duties as assigned.

Education and Experience:

-Bachelor's degree or equivalent combination of education and experience.

-Six years of related experience in operations, administration, stakeholder engagement, events, communications, program coordination, or a related field.

Knowledge, Skills and Abilities:

- Strong organizational and project coordination skills.

- Ability to build and improve processes in a growing or evolving environment.

- Ability to manage multiple priorities and deadlines with strong attention to detail.

- Strong written and verbal communication skills.

- Ability to work effectively with senior leaders, external stakeholders, and cross functional teams.

- Ability to handle sensitive information with discretion and professionalism.

- Working knowledge of standard office, spreadsheet, presentation, and project tracking tools.

- Occasional evening or event-related work may be required.

- Occasional lifting of light materials.

- Ability to multitask and work cooperatively with others.

Preferred Qualifications:

- Experience in higher education, research organizations, government contracting, or industry-academic partnerships.
- Familiarity with semiconductor, advanced manufacturing, or R&D environments.
