OverviewAssistant Director, Billing & Grants
Based in the Samaritan Daytop Village Headquarters, the Assistant Director, Billing & Grants, leads government contract billing, grant compliance, and financial reporting. The work centers around overseeing monthly invoicing, tracking budgets, managing accounts receivable, and leading a dedicated billing team.
Responsibilities
- Direct monthly billing processes, portal invoice submissions, and reimbursement requests across city, state, federal, and private funding sources
- Serve as a key liaison between Finance, Program Operations, and funding agencies to facilitate communication and maximize revenue recovery
- Monitor billing schedules, track expenditures against approved budgets, manage accounts receivable, and oversee unbilled expense schedules
- Perform monthly general ledger reconciliations, analyze budget-to-actual variances, handle revenue accruals, and prepare fiscal closeout packages
- Ensure strict compliance with contractual, grant, and regulatory requirements, including federal Uniform Guidance
- Prepare comprehensive supporting documentation and coordinate closely for external audits, funder reviews, and monitoring visits
- Develop billing policies, monitor changes in funding requirements, and communicate operational impacts to relevant stakeholders
- Assist the Billing Director in training, developing, and reviewing the work of Billing Specialists and Coordinators to ensure operational accuracy and professional growth
Qualifications
- Bachelor's degree in accounting, finance, business administration, or a related field
- At least 7 years of experience in billing, grants management, reimbursement, or nonprofit finance, preferably within nonprofit healthcare, human services, behavioral health, or social service agencies
- Advanced Microsoft Excel skills and experience with accounting and financial management systems
- Proven background in government contracts and grants administration across federal, state, and city funding sources
- Strong understanding of nonprofit accounting, grant compliance, budget monitoring, and financial reporting
- Strong analytical, problem-solving, organizational, and communication skills to manage multiple deadlines in a fast-paced environment
- Knowledge of federal Uniform Guidance (2 CFR Part 200) and experience working with multiple government funding sources and reimbursement methodologies preferred
Additional Information
This is a full-time exempt role with a salary of $85,000 - $89,000with a full benefits package. Benefits include medical, dental, and vision insurance, 25 days of paid time off, access to a retirement account with an employer to match, and tuition reimbursement.
This role is based in Briarwood, Queens with an expectation of working from the office 3 times per week.
