About the Role:

As an Administrative Assistant, you will be responsible for looking after the administrative needs of the overall San Mateo site where we house creative teams working to redefine our business and bring new ideas to life. This position interacts with the entire team of around 40 people to help support their roles by taking care of key administrative tasks for the site.

This will be an onsite role, 5 days a week.

Responsibilities Also Include:
  • Assist the directors and/or managers of a department-service-sector in administrative organization tasks: diaries, reminders, presentations, meetings, travel, visas, etc.
  • Regularly sort paper and electronic files
  • Track purchase orders/stationery supplies/others.
  • Greet visitors, customers, suppliers, direct them, note messages and plan meetings.
  • Monitor the reporting of certain indicators and keep the dashboards up to date.
  • Work with several contacts from different departments, possibly in a bilingual context
  • Carry out additional administrative activities for support services (HR, Purchasing, Vehicle fleet, reception, etc.)
  • Organize and manage events for a department-service-sector
  • Organizing files and keeping site postings and information page up to date
  • Manage purchasing of all site supplies including placing orders in EProc, use of Pcard, tracking and doing related expense reports
  • Purchasing of office supplies, snacks, coffee, etc and ensuring enough supplies are on site
  • Assist with shipping arranging labels, packaging, and coordination of pickup and deliveries with shippers
  • Organize and manage events for the site
  • Look after the health and safety checklist monthly, deal with discrepancies.
  • Keep site organized and clean, helping staff to find storage as needed
  • Coordinate maintenance needs with landlord


What You Should Have:
  • Experience with administrative work for teams of >20 people
  • Experience working with purchasing systems
  • Shipping of packages, dealing with shippers
  • Use of Google G-suite tools
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus


Pay Information:

Starting at approximately $43.00 per hour. Final hourly rate will be determined based on experience, skills, and qualifications.
