In this role, you support our Live Marketing and Nonfiction Creative teams, serving as a key partner to Directors and providing targeted support to Senior Managers and the larger Live Marketing and Nonfiction Marketing Pods. You help leaders stay focused on their highest priorities while ensuring the team remains organized, connected, and operating effectively. You maintain a willingness to continue learning and stay curious to ensure understanding of the current process and needs within Nonfiction Live and the greater MarComms organization.
Key ResponsibilitiesExecutive & Calendar Support
Manage and coordinate complex calendars across Live, Nonfiction, Sports, and Documentaries.
Balance shifting priorities and multiple stakeholder requests and keeping key stakeholders informed and aligned on priorities shifts and changes.
Schedule various meetings with internal and external partners, inclusive oftitle task forces, post mortems, core meetings, creative walkthroughs and more. Connecting production companies, talent representatives, filmmakers, and cross-functional teams.
Anticipate scheduling conflicts and proactively identify solutions to ensure leaders are prepared and operating efficiently.
Monitor trends and make recommendations to leadership on meeting efficiencies and operations.
Monitor upcoming meetings and commitments, ensuring agendas, materials, and logistics are prepared in advance.
Administrative Operations
Provide day-to-day administrative support, including meeting preparation, correspondence, document management, and team information organization to leadership and the larger Nonfiction Live Marketing pod.
Maintain and distribute team resources and reporting materials per project allocation.
Support team communications and help ensure information is organized, accessible, and up to date.
Manage space planning and office moves for the team.
Team Events & Meeting Coordination
Plan and coordinate team meetings, offsites, workshops, celebrations, and other team events.
Manage logistics including room bookings, agendas, materials, catering, technology needs, and attendee communications.
Oversee vendor management for events and offsites.
Support leadership meetings by preparing materials, capturing notes, and tracking follow-up actions as needed.
Manage Creative Review agenda.
Register guests via internal systems such as Envoy.
Escorting guests to and from meetings and events.
Travel & Expense Management
Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
Prepare and process timely and accurate expense reports in accordance with company policies.
Ensure leadership has proper registration for travel to internal Netflix offices. And proper credentials and accommodations for travel and events not limited to internal events, leadership seminars, activations and more.
Submission of travel documents and visas for international travel.
Team Support & Collaboration
Partner closely with team members, cross-functional stakeholders, and administrative professionals across the organization to ensure seamless coordination.
Build and maintain a strong network by working closely with other executive assistants admins and creative assistants, to ensure seamless collaboration. Collaborate across teams on various aspects, including conferences and off-site meetings.
Manage and organize team gifting and gifting inventory.
Assist with onboarding activities for new team members, including maintaining team documentation and organizational resources.
Support special projects and operational initiatives as needed.
Experience in administrative assistant roles supporting multiple leaders simultaneously, a focus on entertainment, marketing or advertising agencies a plus
Team player who thrives in a fast-paced team-oriented setting
Knowledge supporting global leadership and/or team, optimizing across time zones, regional and cultural nuances, to set up engagements for success
Understanding of how to prioritize and respond accordingly
Strong written and verbal communication skills and the ability to multitask
Strong attention to detail at all times
Ability to be discreet and maintain confidential information
Proficiency in Google Suite (Docs, Gmail, Drive, Calendar, and Google Slides)
Ability to occasionally respond after hours for executive or partner requests or other urgent matters.
Passion for Nonfiction or Live entertainment a plus
