L'adjoint de direction principal (basé à Montréal) assiste deux banquiers principaux au sein du groupe Services bancaires aux entreprises de Citi en traitant la correspondance, en gérant les agendas et les rendez-vous, en organisant des réunions et des conférences téléphoniques, en effectuant des réservations pour les déplacements et en accomplissant d'autres tâches administratives. Le groupe Services bancaires aux entreprises de Citi est un fournisseur de premier plan de services financiers à de grandes multinationales.

Responsabilités :
  • Assister directement une directrice principale à Montréal et un directeur basé à Toronto, et fournir un soutien général à l'ensemble d'un service.
  • Gérer l'agenda quotidien d'un ou de membres de la haute direction.
  • Coordonner tous les aspects liés aux rendez-vous, aux réunions, aux réceptions et aux conférences téléphoniques de la direction.
  • Préparer et réviser, de temps à autre, des documents et de la correspondance pour des réunions.
  • Aider à la préparation et à la modification de présentations, de feuilles de calcul et d'autres documents.
  • Coordonner les réservations pour les déplacements; préparer et transmettre les calendriers et les agendas relatifs aux déplacements.
  • Coordonner les tâches de gestion administrative, notamment les relations avec les fournisseurs informatiques et techniques, la gestion des locaux, la sécurité et la sécurité incendie.
  • Fournir une assistance en matière de communication bilingue en effectuant des traductions vers l'anglais et le français selon les besoins.
  • Soutenir la gestion des événements liés aux clients.
  • Préparer, faire concorder et suivre les rapports de dépenses au moyen du système de gestion des frais de déplacement et de divertissement.

Qualifications :
  • Maîtrise du français et de l'anglais
  • Expérience préalable en administration de bureau, acquise de préférence au sein d'une organisation financière complexe de grande envergure ou d'une entreprise similaire
  • Maîtrise approfondie de la suite Microsoft Office
  • Capacité avérée et continue à communiquer de manière claire et concise, tant à l'écrit qu'à l'oral

The Senior Executive Assistant (Montreal based) provides support to two senior bankers within Citi's Corporate Banking group by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements and providing other administrative tasks. Citi's Corporate Bank is a leading provider of financial services to top-tier multi-national clients. We serve the financial needs of the world's preeminent corporations and financial institutions in more than 100 countries through our network of experienced corporate bankers.

Responsibilities:
  • Directly supports a Managing Director in Montreal and a Director based in Toronto and generally supports an entire department
  • Manages day to day calendar(s) of senior management
  • Coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls
  • May prepare and review materials and correspondence for meetings
  • Assist with creation/modification of presentations, spreadsheets, and other various documents
  • Coordinates travel arrangements; prepare and distribute schedules/agendas for travel
  • Coordinates Office management responsibilities, including relations with IT & technical vendors, Premises management, Security, and Fire safety
  • Provides bilingual communication support by providing English-French translations on an as needed basis
  • Supports client related event management
  • Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
  • Orders supplies and process invoices through Procure to Pay system
  • Process and follow-up on Virtual Requests
  • Assists in ad-hoc reports special projects as needed
  • Trains, coaches or guides other administrative staff when required
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.


Qualifications:
  • Proficient in French and English
  • Previous office administration experience preferably within a large and complex financial services or similar organization
  • Highly proficient in Microsoft Office
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Demonstrated ability to quickly gain command of new systems
  • Self-motivated and detail oriented


Education:
  • Bachelor's/University degree or equivalent experience


English Language Proficiency Rationale

This Executive Assistant will be assisting on the client side which could involve scheduling meetings, coordinating calls/gatherings, and working with other leaders that do not speak French. The group services clients in 90+ countries globally so we cannot have them only speak French, so English is required.
